How will you contribute?

We are seeking an experienced Workplace Experience Specialist. In this role, you provide a wide array of business support services with a mature and proactive mindset. The role is essential for ensuring the office remains secure, professional, efficient, and welcoming for both staff and visitors. As a crucial operational role, you will oversee the daily management and upkeep of the physical workspace. Your responsibilities cover visitor management, prioritising and directing communications, administering staff security access, tracking office utilisation, coordinating with service providers, organising repairs, and assisting with events. Serving as the main point of contact between the Audit Office and both internal and external stakeholders, you play a vital role in representing the organisation’s brand values and fulfilling its corporate commitments.


Key responsibilities of this role include:

* Welcome and manage all visitors, ensuring security protocols are followed and interactions are professional and efficient, including managing the Envoy sign-in system and associated protocols.

* Support staff in accessing and using the physical workplace, including managing security passes and audits, conducting new starters site induction, liaising with building management and concierge services, coordinating overflow bookings, and monitoring desk and meeting room utilisation as administrator for the Robin desk booking system.

* Oversee all facilities management activities, including maintenance, repairs, minor works, building services, cleaning, security, and space utilisation, ensuring a safe, compliant, and comfortable environment aligned with WHS standards.

* Manage facilities budgets, contracts, and suppliers, forecasting and ordering supplies, monitoring maintenance effectiveness and value for money, and ensuring responsible and sustainable procurement practices.

* Serve as the primary liaison with building management, attending meetings, fostering strong relationships, coordinating with service providers, and ensuring compliance with building policies and procedures.

* Maintain a safe and inclusive workplace, addressing WHS matters promptly, participating actively in the WHS Committee, and acting as First Aid Officer and Fire Warden while maintaining required certifications.

* Lead sustainability initiatives, taking proactive responsibility for government sustainability and climate change reporting requirements and ensuring accurate and timely reporting of relevant data.

* Ensure business continuity and operational readiness, maintaining up-to-date Business Continuity Process (BCP) information, reception and facilities manuals, and accurate records of systems and procedures.

* Provide administrative and operational support, including shared mailbox management, travel bookings, event coordination, and support for office meetings, wellbeing initiatives, and cultural celebrations.

* Supervise and develop the Workplace Experience Officer, build strong relationships with staff and senior leaders, collaborate with the communications team on workplace updates, and coordinate technology support for training rooms and meetings.

What will you need to succeed?

We are seeking an experienced professional with a background in workplace or facilities management, or customer service, who is proactive, self-motivated, and takes initiative to achieve meaningful results. The ideal candidate will also possess:

* excellent problem-solving skills and ability to think creatively to develop innovative solutions to workplace challenges.

* strong communication and interpersonal skills and a proven track record of building and maintaining strong relationships with employees at all levels.

* project management and organisational skills, with an ability to effectively prioritise tasks and manage competing deadlines.

* experience in managing and mentoring team member, with the ability to effectively lead and support a Workplace Experience Officer.

* strong attention to detail and ability to maintain accuracy in a fast-paced work environment.

* Australian permanent resident or citizen or New Zealand citizen status.

On offer is a 35-hour work week and a total remuneration package (inclusive of salary and superannuation) from $97,819 to $114,782 per annum depending on your experience, skills and capabilities.

This is an office-based role and is expected to be performed from our head office at 201 Sussex Street Sydney.
