We have an exciting opportunity available for an Executive Assistant to join our friendly and supportive team based in Broadbeach.
**What does a typical day look like?**
No two days will be the same, in a word - variety! As EA to the CEO and the Executive Management team, you will be liaising across all areas and levels of the organisation and providing a high level of support with respect to (but not limited to), complex diary and travel arrangements, organising meetings and coordinating events. In this hands-on role you will also be involved in the facilitation of the dnata Australia headquarters.
- Provide proactive administrative support to the CEO & Executive Team.
- Prepare Powerpoint, Word and Excel documents for presentation as requested.
- Coordinate internal events such as boardroom lunches, corporate presentations, functions, and unit management meetings.
- Organise meeting rooms when required including technical requirements, food & beverage, and other necessary resources.
- Credit Card reconciliation, seeking approvals and ensuring on time payment.
- Attend executive meetings to prepare material, take minutes and distribute actions.
- Build strong relationships with the executive team to understand their operational needs and requirements.
- Filing and distribution of commercially sensitive contracts.
- Ad hoc project work as directed
- Manage confidential and sensitive information with diplomacy and confidentiality
- Personal administration support for the CEO.
**What do you need to be successful in securing this role?**
- Previous experience working in an EA role supporting at executive level or as Office Manager working directly with the CEO/GM.
- Experience in a large or complex organisation with multiple departments.
- Extremely high attention to detail.
- Advanced Microsoft Office skills.
- Strong communication skills both written and verbal.
- Ability to work under pressure and to tight deadlines.
- Ability to work on your own initiative.
- Ability to deal with sensitive information with discretion and confidentiality at all times.
- Ability to work autonomously as well as within a team.
- Ability to work with competing priorities, and to re-prioritise as necessary.
- Actively engage in continuous improvement of corporate office procedures
