Are you an organised, driven and people-focused professional ready to lead a thriving allied health team?

We're seeking an
experienced Practice Manager,
or an
extremely organised and driven allied health professional looking for a career change,
to oversee the daily operations of our passionate and rapidly growing occupational therapy clinic.

Mindful Beings Occupational Therapy is a client-focused OT practice committed to delivering high-quality, compassionate care. We support individuals through NDIS, Medicare, and private health, and we pride ourselves on clinical excellence, efficient systems, and a welcoming team culture.

Key Responsibilities

* Lead day-to-day operations, scheduling, invoicing, and documentation.
* Support our clinicians and ensure a high standard of client service.
* Manage policies and procedures for a smooth and streamlined clinic.
* Drive team performance and support clinicians in achieving KPIs.
* Manage billing, payments, reconciliations, and funding claims (NDIS, Medicare, private health).
* Oversee onboarding, HR compliance, and virtual admin support.
* Maintain compliance with allied health and NDIS standards.
* Contribute to marketing, referral relationships, and community engagement.
* Streamline workflows using practice software (Splose experience a plus)
* Liaise with management, finance, and HR to support practice growth.

Essential Criteria

* Experience in healthcare/allied health administration or practice management.
* Excellent communication, organisational, and multitasking skills.
* Confident with practice management software and IT systems.
* Knowledge of NDIS, Medicare, and private billing processes.
* Ability to work independently, proactively, and collaboratively.

Desirable

* Previous leadership or team coordination experience.
* Background in allied health service delivery (OT, physio, EP, etc.).
* Experience with Xero or similar accounting software.
* Understanding of compliance audits and reporting.
* Understanding of AI and its integration into efficient workflows.
