Primary objective
Provide high level administrative support to the Public Health Operations in Emergencies for National Strengthening in the Indo-
Pacific (PHOENIX) Program team within the National Critical Care and Trauma Response Centre (NCCTRC) to assist in facilitating
efficient and effective delivery of a range of PHOENIX Program activities.
Key Duties and responsibilities
1. High level administrative and corporate support to the PHOENIX team including managing correspondence, communications
and maintain, manage and develop reports for the PHOENIX Monitoring, Evaluation and Learning Framework (MELF).
2. Develop, maintain and manage online data and records to be used for high-level reporting purposes.
3. Liaise with prospective and established stakeholders throughout the region with culturally appropriate insight in collaboration
with the PHOENIX team.
4. Provide administrative support for the preparation and planning of overseas activities including developing and maintaining
procedures according to departmental protocols.
5. Be willing to travel throughout South East Asia and the Pacific region, if required, to provide in-country administrative support
for engagement activities.
6. High-level secretariat support for PHOENIX meetings including those with key funders and stakeholders.
7. Support other areas of NCCTRC as required including during Australian Medical Assistance Team (AUSMAT) deployments
through cross-cultural liaison, administration and logistic activities as requested by executive.
8. Follow defined service quality standards, work health and safety policies and procedures relating to the work being undertaken
in order to ensure high quality, safe services and workplaces.
Selection Criteria
Essential
1. Demonstrated high-level cross-cultural skills, oral and written communication, interpersonal and negotiation skills to enable
effective communication across cultural and professional boundaries nationally and internationally.
2. Strongly founded cross-cultural skills in relating to clients, service providers and staff especially in the Pacific and South East
Asia regions.
3. Demonstrated experience and knowledge in information and communication technology systems including word processing,
spreadsheets, email, records management, database management and major systems for the delivery of online and face to face
education programs.
4. Demonstrated organisational skills, with a focus on accuracy for delivery of quality outcomes to operate professionally and
effectively in a confidential environment.
5. Demonstrated knowledge and experience in the principles and reporting requirements of a MELF and experience in developing
high level reports and executive correspondence.
6. Strong work ethic with a high level of initiative and an ability to work independently within a dynamic multidisciplinary team.
Desirable
1. Demonstrated experience with healthcare and training liaison including in low resource, developing country contexts.
2. Knowledge and experience of NCCTRC programs.
