Position Summary
Senior Helpers FNQ is seeking an experienced and highly organised Office Administrator with NDIS experience to support the daily operations of our growing home care and disability services business.
This role is responsible for providing high level administrative support across client services, staff coordination, compliance, and general office operations. The successful candidate will have a strong understanding of the NDIS framework, excellent communication skills, and the ability to work efficiently in a fast paced environment while maintaining exceptional attention to detail.
The Office Administrator plays a key role in ensuring smooth day to day operations and delivering a high standard of service to participants, families, support coordinators, and internal staff.
Key Responsibilities-Administration & Office Support
* Manage day to day office operations and administrative tasks
* Answer incoming phone calls, emails, and general enquiries professionally
* Maintain accurate client and staff records
* Prepare reports, documents, correspondence, and data entry as required
* Manage filing systems and ensure documentation is compliant and up to date
* Support the Managing Director and internal team with administrative tasks
NDIS & Client Services
* Liaise with NDIS participants, families, Support Coordinators, Plan Managers, and Allied Health professionals
* Assist with service agreements, onboarding documentation, and client intake processes
* Coordinate and schedule continence assessments and nursing appointments
* Monitor participant service requirements and follow up as needed
* Support participants with general service enquiries and rostering updates
Staff Compliance & Coordination
Assist with onboarding new staff and recruitment administration. Monitor staff compliance including:
* NDIS Worker Screening Card
* Blue Card (Working with Children)
* First Aid & CPR
* Manual Handling
* Medication Competency
* Mandatory training compliance
* Coordinate refresher training and ensure compliance deadlines are met
* Support rostering and communication between support workers and office staff
Quality & Compliance- Work with our quality compliance team
* Ensure compliance with NDIS Practice Standards and company policies
* Assist with incident reporting, documentation, and quality assurance processes
* Maintain confidentiality and professional standards at all times
Skills & Experience Required-Essential
* Previous administration experience in the NDIS, aged care, disability, or community care sector
* Strong understanding of NDIS processes and participant supports
* Excellent verbal and written communication skills
* High level of organisation and time management
* Strong attention to detail and ability to prioritise workload
* Proficient in Microsoft Office Suite (Word, Excel, Outlook)
* Ability to work independently and as part of a team
* Professional, compassionate, and client-focused approach
Desirable
* Experience with rostering systems and workforce management platforms
* Knowledge of VC, VWorker
* Recruitment and HR administration experience
Mandatory Requirements
* Current National Police Check
* Current Driver’s Licence
* NDIS Worker Screening Clearance (or willingness to obtain)
* Blue Card / Yellow Card (where applicable)
* Right to work in Australia
