Overview
Australia's pre-eminent specialist wills & estates law firm seeks an Assistant to the Operations Manager.
Responsibilities
* Coordinate onboarding activities across all offices, including liaising with Payroll and HR, arranging IT account provisioning, and testing accounts to ensure readiness for new starters.
* Internal Support & Query Management
* Act as the first point of contact for day-to-day operational queries from support staff across all offices, resolving matters where possible.
* Receive and log IT-related issues from staff, liaising with the firm's IT provider for resolution and tracking progress until completion.
* Assist with staffing arrangements, including sourcing cover for unplanned absences in any location.
* Project & Compliance Support including assisting the Business Operations Manager with further developing the practice management software
* Provide support with the implementation and ongoing monitoring of the firm's Anti-Money Laundering (AML) compliance framework, including assisting with staff queries, tracking compliance activities, and maintaining relevant records.
* Facilities & Contractor Liaison including responding to on-site facilities issues in all offices as they arise, coordinating with building management and external contractors such as cleaners, repair technicians, and maintenance providers.
* Assist in monitoring and maintaining a safe, functional, and presentable office environment across Brisbane, Sydney, and Melbourne.
* Event & Meeting Room Support
* Provide general administrative support to the Business Operations Manager on operational projects and initiatives across all offices.
Experience & Qualifications
* Strong organisational skills with the ability to prioritise competing demands.
* Discretion and confidentiality in handling sensitive matters.
* Minimum of 2 years previous experience in an administrative, operations, or HR support role, in a law firm environment.
* Experience liaising with IT providers and managing user accounts (desirable).
* Exposure to compliance processes, including AML, is an advantage
The law firm / Salary / benefits
National Boutique specialist wills & estates law firm with 30 staff. Offer induction training, mentoring, professional and corporate environment, social club, paid maternity leave, great culture - open door policy. Salary negotiable, dependent upon experience (between $80,000 - $95,000 plus Superannuation).
