Primary objective
Provide high-level administrative support for the Regional Policy and Executive Coordination Unit within the Territory Regions
Division and to the General Manager, Territory Regions. This will include coordinating the provision of high-quality advice to senior
executives and Ministers and Cabinet, regarding regional issues and priorities and supporting the implementation of initiatives,
strategies and projects that contribute to regional development.
Context statement
The Department of the Chief Minister and Cabinet’s purpose is to deliver coordinated policy and priority reform, regional
leadership, and high-quality support to Executive Government. Through the Territory Regional Coordination branch, CM&C has a
regional network of teams across the Territory that provides leadership and policy coordination across and beyond the NT public
sector.
Key duties and responsibilities
1. Provide high level strategic administrative and project support to the Regional Strategy and Coordination Unit and General
Manager, Territory Regions.
2. Develop, quality assure and process correspondence, maintaining records using TRM, initiating follow-up actions to ensure
deadlines are met and scheduling, compiling, and distributing meeting papers for Divisional meetings.
3. Research and support the preparation of executive correspondence including departmental and ministerial correspondence,
cabinet submissions, meeting papers, presentations, speech notes, and reports.
4. Liaise effectively and discreetly with all levels of staff within the department and with external stakeholders.
5. Build and sustain collaborative relationships and with a variety of stakeholders, including the Senior and Regional Executive
Directors, DCEOs and CEO, senior departmental staff members, other government agencies, and external stakeholders.
Selection criteria
Essential
1. Proven successful experience working in a senior executive office, demonstrating high level interpersonal, oral, and written
communication skills.
2. Demonstrated organisational and time management skills with the capacity to prioritise and meet competing deadlines, work
under pressure while maintaining quality of product and implement robust monitoring and evaluation systems to identify areas
for continuing improvement.
3. Knowledge and understanding of government and ministerial protocols, procedures, policies, and legislation, including standard
formatting of correspondence, preparing high level reports, discussion papers, correspondence, and Ministerial and executive
briefings.
4. Political astuteness with proven capability to operate effectively in a sensitive environment while maintaining high standards
of professionalism, ethics, personal resilience, reliability, integrity, accountability, and adherence to public sector values.
5. Proven ability to develop, maintain, apply, and provide advice on procedures for administrative processes such as procurement,
credit card management, travel arrangements, and records management.
6. Ability to work effectively in a collaborative and agile team, demonstrating ability to interact effectively with people from
diverse cultures and backgrounds to achieve outcomes through problem solving and influencing skills.
Desirable
1. Knowledge of the strategic directions and objectives of the Department of the Chief Minister and Cabinet and broader NT
Government.
2. Relevant accredited training or bachelor’s degree in a relevant discipline.
