About the role
We’re seeking a highly organised and proactive Executive Assistant to provide dedicated support to the Deputy Group Chief Financial Officer and the Group Chief Procurement Officer.
You’ll be responsible for managing schedules, coordinating travel, preparing documentation, and supporting internal and external meetings. You’ll also play a key role in financial administration and act as a trusted point of contact for internal and external stakeholders.
In this role, you will:
- Manage complex diaries and travel arrangements for senior executives, including accommodation and logistics.
- Prepare high-quality documentation such as correspondence, reports, agendas, minutes, and presentations for internal and external use.
- Coordinate and support meetings, including agenda development, paper collation, contributor coordination, and minute-taking.
- Provide financial administration support, including budget monitoring, purchase orders, accounts reconciliation, and credit card processing in line with University procedures.
- Build and maintain effective relationships with internal and external stakeholders, acting as a key liaison point for the portfolio.
- Support broader office management and administrative systems, contributing to process improvements and acting as a subject matter expert on administrative matters.

Selection criteria
- Completion of Higher School Certificate and/or equivalent experience.
- Strong computer skills, including proficiency in Microsoft Office and internet-based tools.
- Experience supporting executive stakeholders in an administrative capacity.
- Demonstrated ability to manage and prioritise workloads to meet tight deadlines.
- Experience preparing agendas, minutes, reports, and presentations.
- Proven ability to deliver high-level customer service in a complex organisation.
- Strong interpersonal skills with the ability to build and maintain effective relationships.
