Executive Assistant – Western Sydney University
This is a mid‐level Executive Assistant role based in Parramatta, NSW, AU.
Responsibilities
Provide high‐level executive and project support to enable global partnerships and transnational education priorities.
* Provide executive support to the Pro Vice‐Chancellor, Global Partnerships and Transnational Education, including confidential, accurate and responsive administrative services.
* Manage complex diaries, correspondence and travel, acting as the first point of contact for internal and external stakeholders.
* Coordinate executive communications, prepare and format documents, and ensure briefing papers and information flows are timely and accurate.
* Provide project and administrative support across the Office, including research, reporting, event coordination and records management.
* Handle financial administration, asset and facilities coordination, and ensure compliance with University policies and systems.
Success Indicators
* Executive priorities supported through accurate diary, correspondence and document management.
* Stakeholders receive professional, timely and confidential responses.
* Projects, reports and events coordinated to agreed timeframes.
* Records, financial transactions and assets managed in line with policy.
* Competing priorities managed effectively with minimal supervision.
About You
* Experience supporting senior leaders in a complex organisation and comfortable managing diaries, correspondence and competing priorities.
* Strong organisational and time‐management skills to manage high‐volume work calmly.
* Clear and professional communication, with ability to draft, proofread and format executive‐level documents and briefings.
* Ability to work well with a wide range of stakeholders and exercise sound judgement, particularly with confidential information.
* Confidence using office systems and tools to support reporting, records management and day‐to‐day administration.
