Position Title: Data Entry / Store Administrator

Department: Stores / Operations

Reports To: Store Supervisor

Location: Allweld Manufacturing, Maryborough QLD


Position Purpose

The Data Entry / Store Administrator is responsible for maintaining accurate records of purchase orders and inventory transactions within Allweld's ERP system. This role supports the stores and purchasing functions by ensuring timely data entry, system accuracy, and effective communication with suppliers, accounts, and production staff.


Key Responsibilities

* Input and maintain purchase orders, receipts, and stock movements in the ERP system.
* Administer ERP housekeeping tasks to ensure data accuracy and system integrity.
* Perform goods receipting, including checking deliveries, labelling, and updating stock records.
* Support physical stocktakes and reconcile discrepancies between ERP data and actual stock.
* Assist with issuing and returning stock, tools, and consumables to production staff.
* Liaise with suppliers and accounts to resolve PO or invoice issues.
* Prepare simple reports (open purchase orders, stock usage, shortages) as required.
* Maintain filing and digital records relating to purchasing and stores.
* Comply with all Allweld policies, procedures, and safety requirements.


Skills and Requirements

* Previous experience in data entry, stores, or purchasing support.
* Knowledge of ERP systems (Odoo preferred) or demonstrated ability to learn quickly.
* Strong accuracy and attention to detail in data entry and record-keeping.
* Competent with Microsoft Excel, Word, and email communication.
* Understanding of basic inventory control and purchasing processes.
* Effective communication and problem-solving skills.
* Ability to work independently and prioritise tasks in a busy environment.
* Forklift licence (desirable but not mandatory).


Key Relationships

* Internal: Store Supervisor, Operations Manager, Accounts, Production Staff.
* External: Suppliers, Delivery Drivers, Contractors.


Performance Measures

* Accuracy and timeliness of ERP entries.
* Stock discrepancies identified and resolved promptly.
* Purchase orders processed correctly and on time.
* Effective communication with suppliers and internal staff.
* Compliance with Allweld's safety and quality procedures.


Conditions of Employment

Full-time position based at Maryborough site.

Hours of work: 6:00am to 3:30pm Monday to Thursday, 6:00am to 12:00pm Friday.
