An exciting opportunity exists for an Executive Assistant to provide support to the Vice President & Lead Financial Officer, Australia, New Zealand, and India.
The Executive Assistant role plays as an important support function within American Express Finance. This individual will report directly to the Vice President of Finance for Australia, New Zealand, and India, and will collaborate across Finance and business executive offices. The Executive Assistant will interact with senior management from various business units.
**Duties will include**:
- Comprehensive diary management
- Manage international and domestic travel arrangements including air, hotel, transfers, and agendas
- Coordinate logistics for all internal and external meetings, direct reports and leadership meetings
- Manage internal events including Town Halls, Conferences, team building and offsite events
- Ensure timely preparation of leader expense reports in accordance with the T&E policy including the reviewing of direct report expense submissions
- Preparing local agenda's for international senior leadership visits across A/NZ region
- Manage department purchases through Ariba Buyer (Stationery, PC, Hardware & Software)
- Lead and manage Business Continuity Plan
- Ad hoc administrative / project work as requested by leader
**Qualifications**:
- Previous experience supporting or working with senior leaders
- Excellent organisation skills with a strong focus on attention to detail
- Strong attention to detail with emphasis on accuracy, quality, timeliness and follow through
- Ability to multi-task, prioritise, and complete work in a timely fashion against firm deadlines.
- Proficient in Word, Excel, PowerPoint, Outlook
- Excellent relationship skills, with ability to work with employees of all levels of leadership
- Demonstrated ability to maintain a high level of confidentiality and handle highly sensitive information
