We are seeking an experienced and highly organised Executive Assistant to provide exceptional and confidential support to the Business Manager, Chief People Officer (CPO), and Chief Financial Officer (CFO).

Key Responsibilities
- Effectively manage complex calendars for the Chief People Officer (CPO) and Chief Financial Officer (CFO), including meetings, all travel requirements, and national conferences. Provide diary coordination support for other executives, including the Chief Client & Marketing Officer (CC&MO), when required.
- Ensure the CPO and CFO's meetings are well-organised, run on time, and ensure they are fully prepared for all meetings with the necessary documentation, agenda and relevant materials.
- Screen and prioritise phone calls and incoming correspondence, drafting responses and ensuring urgent matters are identified, addressed and escalated as needed.
- Prepare and coordinate high-quality agendas, reports, research, presentations, and briefing packs to support executive decision-making.
- Prepare travel-related materials and process expense claims in accordance with firm policies.
- Represent and support the CPO and CFO in interactions with key internal and external stakeholders, acting as a trusted point of contact.
- Maintain accurate and up-to-date contact records and collaborate with the broader support team to meet leadership priorities and deadlines.
- Assist with the planning and delivery of retreats, workshops, and internal events for the leadership team and broader business units.
- Provide high-level administrative support for business activities, leadership projects, and key initiatives which may include collating, preparing, and distributing documentation, reports, and other materials as required.
- Support the Business Manager with a range of administrative and project-based tasks to ensure the smooth operation of the team.
Skills and Experience Required
- Demonstrated experience as an Executive Assistant, ideally supporting senior executives or leadership teams.
- Outstanding organisational and time management skills, with exceptional attention to detail and the ability to prioritise effectively.
- Excellent written and verbal communication skills, coupled with strong interpersonal abilities and a high level of discretion and confidentiality.
- Advanced proficiency in Microsoft Office Suite and other relevant business software tools.
- A proactive and resourceful approach, with the ability to thrive in a fast-paced and dynamic environment.
- Prior experience in event planning and travel coordination is highly regarded.
