Primary objective
Provide comprehensive, confidential, administrative support to the Youth Justice work unit and management to ensure quality
operation and service delivery. This position operates in a fast-paced environment, dealing with challenging and sensitive topics in
conjunction with frequently changing deadlines and priorities.
Context statement
Youth Justice Programs is responsible for developing, implementing, reviewing and managing youth justice programs, initiatives,
projects and associated contracts to improve outcomes for young people in, or at risk of entering, the youth justice system.
Key duties and responsibilities
1. Provide high quality support including:
* Managing general enquiries, calls and requests for the branch and unit
* Coordinating meetings and travel arrangements as required
* Preparing, collating and formatting documents (correspondence, memorandums, briefing notes and presentations)
* Monitoring communication channels in and out of the branch and unit, including telephone and email enquiries, screening
calls and delivering messages in a timely manner
* Monitor the timely preparation of information, while meeting tight timeframes; quality control high-level documentation,
amending as necessary for content and appropriate standards
* Maintaining and developing effective stakeholder relationships
2. Ensure administrative systems, procedures and guidelines are developed, implemented, maintained and reviewed.
3. Manager a range of procurement functions including travel arrangements, purchasing, liaising with suppliers, organising
payment and processing credit card transactions.
Selection criteria
Essential
1. Demonstrated experience in providing administrative support for a team; with good attention to detail, sound judgement, the
ability to maintain confidentiality and a clear understanding of the need for tact and diplomacy.
2. Good working knowledge and experience in delivering well-coordinated administrative support services; including document
preparation, collation and distribution, management of information, meeting and/or event coordination and developing robust
work processes.
3. Experience operating in a fast-paced environment with strong organisational and time management skills; with demonstrated
ability to prioritise tasks.
4. Sound knowledge in computer systems including word processing, spreadsheets, email, records management, and business
systems; with the ability and willingness to learn new systems/programs.
5. Working knowledge of administrative procedures and practices, including those relating to travel and other booking systems.
6. Knowledge of business management systems and processes, such as human resource administration, finance, information and
records management, procurement and coordination.
Desirable
1. Certificate Ill in office administration or business.
