Introduction
A dynamic, entry-level Supply Chain Coordinator is required based in our Pinelands office in Cape Town but exclusively supporting our UK Supply Chain Team. This is a fixed-term contract role, running from August 2025 to 31 March 2026, ideal for someone looking to gain hands-on experience in supply chain operations. The successful candidate will support the end-to-end purchasing and logistics process, following detailed standard operating procedures (SOPs) and collaborating with internal and external partners.
Duties & Responsibilities
1. Purchase Order (PO) Creation
* Raise and maintain POs in the company's procurement system when new supplier orders are logged in the order tracking tool.
* Verify supplier codes, correct warehouse, and estimated delivery week.
* Add product details, quantities, costs, and all associated landed cost lines (shipping, customs) before saving or cloning follow-on POs.
2. Container Shipping Bookings
* Book ocean freight with approved shipping providers via their online portals, entering quotation numbers, contract terms, container types, estimated arrival dates, and PO references.
* Record booking references, initial ETAs, and shipment numbers in the order tracking tool.
3. Shipping Instructions & Weight Declarations
* Collate supplier paperwork (invoices, transport documents, export declarations, weight certificates).
* Submit electronic shipping instructions and weight declarations within portal deadlines; update status in the order tracking tool and document management system.
4. Regulatory Notifications
* Complete required regulatory notifications online after loading (e.g., product type, weight, drying method, destination, ETA).
* Prepare certification packs, emailing relevant authorities and shipping providers with supporting documentation.
5. Customs Clearance Liaison
* Email customs teams with invoice and shipment documentation, track clearance, and update order tracking and goods-in records.
6. Goods-In Diary & Delivery Slot Management
* Maintain the goods-in diary: book, amend, or cancel inland haulage slots (according to port storage rules and warehouse availability).
* Email weekly goods-in schedules to warehouse partners; escalate changes due to vessel delays.
7. Stock Receipting & Invoicing
* Receipt inbound stock in the inventory system once warehouses confirm quantities; allocate shipping and customs costs.
* For wholesale orders, liaise with customers, receipt the order, and trigger invoicing in the finance system.
8. Quarterly Regulatory Reporting
* Collate data and submit regulatory returns (e.g., packaging tax, product certifications) on schedule.
9. Continuous Improvement
* Flag data discrepancies between systems and tools.
* Suggest process improvements to reduce costs, speed up clearance, or improve data accuracy.

* Supply Chain, Logistics or Business qualification
* Experience with inventory, ERP or finance systems
* Familiarity with international shipping terms and port procedures
* Previous import/export or logistic administration experience
* Knowledge of customs processes or tax rule applicable to the UK
Package & Remuneration
R20,000 CTC, depending on experience and qualification
