The Role
A new full-time opportunity has been created for a detail orientated multi-tasker. The Data Entry Administrator is responsible for providing accurate and efficient administrative support to the Black Swan Health Disability Team.
Duties and Responsibilities of the Position
§ Answer incoming phone calls on the 'Psychosocial Services' and 'Disability Services and NDIS' lines
§ Respond to queries received in the Disability and Psychosocial Services email inbox, and distribute emails to the appropriate member of the Disability Team or other Black Swan Health program
§ Contact participants to inform them of late cancellations, in the event of unexpected staff absences
§ Process referrals (check eligibility criteria, log referrals on the client database, and reply to the referrers). This will also involve taking self-referrals over the phone.
§ Compile a monthly summary of Psychosocial Support Program referral sources for the Engagement Officer of the Marketing Team
§ Maintain and upkeep the database of services
§ Take minutes at team meetings and distribute them to the team via email
§ Assist the Disability and Psychosocial Services Manager with recruitment tasks as instructed – e.g. scheduling interviews and performing reference checks
§ Be flexible and proactive to assist staff with other administrative tasks within your scope of work
§ Other duties as required.
The successful candidate will have
§ Current National Police Clearance.
§ Working with Children's Check
§ NDIS Worker Screening Check.
§ Eligibility to work in Australia
§ Previous experience in an administration or receptionist role
§ Strong written and verbal communication skills, including a professional phone manner
§ Treat all people with respect and dignity, and demonstrate care and compassion for people experiencing distress from severe and persistent mental health issues
§ Maintain confidentiality and privacy of client and staff information
§ A proactive and flexible attitude to assisting the team and taking on additional tasks when time permits
§ Ability to enter data efficiently and accurately, with high attention to detail
§ Well-developed organisational skills, including prioritising and managing competing deadlines
§ High-level computer skills, including demonstrated experience with MS Office Suite
§ Previous experience working in a mental health or disability setting (desirable)
