About the role:
Fleetwood Australia, a market leader in modular construction, is seeking a highly skilled and driven individual to join our Sales team as a Bid Coordinator, based at our Smithfield, NSW office. In this pivotal role, you will oversee the end-to-end bid process, ensuring the seamless production and submission of tenders, EOIs, and RFPs to the highest standard. You will collaborate closely with the Sales team and key internal stakeholders to produce compelling, client-focused proposals that align with project specifications and best practices. The key responsibilities of the role are to:
* Coordinate the full bid process from start to finish.
* Assist the Business Development and Sales team in the coordination, formatting and overall production of tenders, EOIs, RFPs etc, ensuring a consistently high standard.
* Write effective, concise and compelling content for bids and proposals.
* Prepare and maintain all bid related documentation such as templates, standard responses.
* Engage key stakeholders from other departments (ie HSE, operations, commercial) as required to ensure production of high quality, timely and accurate into submissions.
* Coordinate and participate in bid and tender meetings, including client meetings.
* Manage the creation and maintenance of job and activities in Navision and CRM.
* Ensure accurate and timely collation of data for monthly task and departmental reporting.
* Provide administration support at weekly meetings, including minute taking and NAV pipeline amendments.
* Ensure tenders and proposals meet the required specifications, are in line with best practice and are compliant with client requirements.
* Provide administrative assistance to the Business Development and Sales department.
* Undertake market and competitor analysis to report on growth opportunities.
* Qualify incoming leads and allocate internally or externally.
* Participate and contribute to project-by-project bid strategies and win themes.
About You
We are seeking a highly motivated and detail-oriented individual with a strong background in tender coordination, project management, and administration, ideally within the construction or building industry. You will bring excellent written and verbal communication skills, with the ability to craft compelling, client-focused proposals and presentations. Your strong organisational skills and attention to detail will ensure that all bid-related documentation is accurate, timely, and of the highest standard. You will be adept at managing multiple priorities and collaborating with stakeholders from various departments to deliver successful submissions. A solid understanding of sales and marketing methodologies, along with proficiency in Microsoft Office Suite (especially Word and Excel), will be key to your success. Experience with internal databases and Adobe Suite, including InDesign, will be advantageous. To be successful in this role you will demonstrate:
* Previous experience as a Tender/Bid Coordinator is preferred.
* Excellent written and verbal communication skills with ability to create effective presentations.
* Well-developed analytical and problem-solving skills.
* Excellent computer skills, specifically Word and Excel, and use of internal databases.
* Adobe Suite skills, including InDesign (preferred but not essential).
* Strong administrative and organisational skills.
* Strong numeracy skills with the ability to develop and understand complex concepts.
* Good understanding of sales and marketing methodologies and practices.
* Previous experience working in the construction/building industry, or similar.
* Excellent attention to detail.
* Highly adaptable and able to manage changing priorities.
* Commitment to the efficient and effective delivery of quality customer service.
