Job Description
About the Role
Join our team as a Service Administrator supporting our Atlas Copco brand. In this fast-paced and customer-focused environment, you'll ensure all service-related documentation is completed accurately, efficiently, and in line with our standards.
Key Responsibilities
* Support the Service Manager and Service Supervisor by handling customer calls, asking the right questions to enable accurate and timely responses
* Submit all warranty repair orders within 14 days of job completion
* Manage the full invoice-processing workflow, including opening and closing service jobs
* Raise and process Purchase Orders, ensuring timely approval for payment
* Prepare customer quotes using the Reynolds & Reynolds system
* Liaise with sublet contractors to coordinate work and confirm service details
* Allocate technicians' hours to repair orders accurately
* Complete weekly timesheets and maintain organised, up-to-date filing
* Proactively identify and recommend process improvements
* Ensure all tasks comply with relevant OH&S requirements
What You'll Bring
* Strong proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint)
* Demonstrated experience providing administration support within a mechanical or technical service department
* Confident communication skills with the ability to liaise effectively with internal teams and suppliers
* Experience using the Reynolds & Reynolds system (highly regarded)
* Ability to generate service reports and interpret system data
* Commitment to following company policies and working to high accuracy standards
