About the Role
Our State Government client is seeking a motivated AO3/1 Procurement Support Officer to provide essential support to the procurement function. This role will see you working within a fast-paced environment, ensuring compliance, accuracy, and quality in supplier and procurement processes.
Key Responsibilities
- Use the Microsoft Office suite, particularly Excel, to manage and analyse data.
- Maintain and enhance procedures for the entry and amendment of data within supplier databases, ensuring compliance with policy, risk management, and audit requirements.
- Develop and maintain supplier databases in Ellipse and IRIS by verifying supplier information.
- Ensure the integrity of supplier registration and licensing details, coordinating systems to ensure licences and insurances are current, and provide regular reports.
- Deliver efficient and professional customer service to stakeholders.
- Monitor and manage correspondence, phone calls, and enquiries within required timeframes.
- Review and action amendments to procedures, guidelines, and standard forms while maintaining document control.
- Run and distribute reporting as required.
- Contribute to performance targets by working within KPIs and monitoring mechanisms.
- Build strong connections with suppliers, industry representatives, and internal stakeholders to support the effective delivery of services.
- Demonstrate professionalism, initiative, and teamwork in handling recurring work and managing enquiries in the absence of senior staff.
Additional Requirements / Highly Desirable
- Procurement Level 1 Certification (desirable).
- Strong attention to detail with the ability to identify and address potential issues before they escalate.
- Ability to adapt to a fast-paced, high-volume setting.
