Secretariat Governance Officer - Digital Uplift Program (APS5 / APS6)
We are seeking proactive and highly organised officers to provide governance and secretariat support within a dynamic ICT modernization program. These roles ensure effective coordination of meetings, accurate documentation, and adherence to governance frameworks in a fast-paced environment.
APS5 Level - Key Responsibilities:
* Support coordination of governance meetings, including scheduling, logistics, and participant liaison
* Prepare agendas, briefing packs, and draft minutes for review by senior officers
* Maintain registers of decisions, action items, and correspondence to ensure compliance with governance standards
* Assist with parliamentary and executive processes, including Senate Estimates material, ministerial correspondence, and Questions on Notice
* Support engagement with internal and external stakeholders and contribute to process improvements
APS6 Level - Key Responsibilities:
* Lead coordination of high level governance meetings and committees, managing complex scheduling and participant liaison
* Prepare agendas, briefing packs, and final minutes, ensuring accuracy, compliance, and timely distribution
* Track and monitor action items, maintain governance registers, and ensure alignment with reporting and accountability requirements
* Provide advice and support on parliamentary and executive processes, including Senate Estimates material, ministerial correspondence, and Questions on Notice
* Drive improvements to secretariat processes and workflows and engage with senior internal and external stakeholders to achieve program outcomes
Key Skills and Capabilities (APS5 & APS6):
* High level written and verbal communication, with ability to produce clear, concise documentation
* Strong understanding of governance principles, frameworks, and secretariat functions
* Excellent organisational and time management skills to manage competing priorities
* Ability to handle confidential and sensitive information with discretion and integrity
* Proficiency in Microsoft Office and governance software tools
* Demonstrated initiative, sound judgment, and ability to build strong stakeholder relationships
Qualifications:
* Mandatory: Experience in governance, secretariat, or compliance roles within a complex organisation
* Desirable: Tertiary qualification in Business, Public Administration, or related field (or equivalent experience)
