ROLE SUMMARY
The Business Support / EA role provides high-level administrative and operational support to the CEO while also assisting other members of the Executive Leadership Team (ELT) as required. This role ensures smooth coordination of the CEO’s activities, manages complex scheduling, and acts as a key liaison between the CEO and internal and external stakeholders. This role plays a pivotal role in driving organisational efficiency maintaining confidentiality and contributing to strategic initiatives.
KEY RESPONSIBILITIES
Executive Support to the CEO & Executive Team
•Coordinate domestic and international travel arrangements, including itineraries and accommodations.
•Prepare and edit correspondence, reports, and presentations on behalf of the CEO.
•Act as a first point of contact for the CEO, handling queries, and managing communications.
•Support ELT projects by managing timelines, follow-ups, and deliverables.
•Conduct research, compile data & provide critical insights to support executive decision-making.
•Draft reports, presentations, and briefing documents for internal and external stakeholders.
•Anticipate executive needs by identifying and resolving issues proactively.
Office Coordination and Administration
•Manage confidential records and files, ensuring accuracy and security.
•Oversee administrative processes, including expense reconciliation & adherence to procurement process.
•Act as a liaison between the Executive Office and other departments, promoting effective communication.
Event and Meeting Coordination
•Manage Board meetings, including preparation of agendas, minutes, and logistics (as required)
•Plan and execute executive events, such as planning sessions, stakeholder meetings, etc
•Assist in coordinating external engagements, conferences, and speaking events for the CEO.
Human Resources and Team Support
•Assist in onboarding new senior team members by organizing materials and schedules.
•Act as a liaison between HR and the executive, managing sensitive employee issues.
•Support team morale initiatives, such as recognition programs or cultural events.
•Play in role in engagement activities, working closely with the People & Culture team.
Relationship Management
•Build and maintain strong relationships with internal and external stakeholders, including Board members, partners, and staff.
•Handle sensitive information with discretion, maintaining a high level of confidentiality.
•Represent the CEO and Executive Office in a professional manner.
Crisis and Contingency Management
•Quickly adapt and respond to unexpected challenges or emergencies.
•Develop contingency plans for events such as travel disruptions, IT issues, or scheduling conflicts.
•Maintain calm and focus under pressure.
Digital and Technological Proficiency
•Utilize advanced tools and platforms for communication, scheduling, and data management (e.g., Salesforce, Slack, Notion).
•Troubleshoot basic IT issues and coordinate with technical teams.
KEY ATTRIBUTES AND EXPERIENCE
Required Skills and Experience
•Proven experience as an EA or in a similar high-level administrative role (+ Board interactions)
•Exceptional organizational and time-management skills.
•Strong written and verbal communication skills.
•Board reporting preparation and understanding of compliance standards
•Proficiency in Microsoft Office Suite and collaboration tools (e.g., Teams, Zoom, etc.).
•Strong skillset with PowerPoint and preparing presentations.
•Ability to manage multiple tasks and prioritize effectively in a fast-paced environment.
•High level of discretion and confidentiality.
