The Role
Play a vital role as the operational backbone of a fast-growing specialist accounting services team, working closely with senior management to provide key administrative support to our staff and clients. This is more than just an admin role, but a chance to own and optimize the core systems and processes that drive our business. This role is instrumental to our day-to-day operations and success, and manages a variety of duties and responsibilities, including:
* Client Engagements & Onboarding - Manage the end-to-end client lifecycle (including using DocuSign), manage queries and deliverable via Karbon, and coordinate client systems via Xero, Xero Tax, Hubdoc, etc
* Practice Administration & Billing - Oversee all practice billing and debtor management, follow-up on rejected payments, reconcile software subscriptions and manage Xero upgrades and transfers, as well as provide internal reporting on time vs actual billing across accounting teams
* Workflow & Systems Management - Champion our workflow management software (Karbon), manage our Monday.com boards for operational tracking and efficiency, and manage user access across all systems
* Client & Team Support - Act as the primary contact for client and admin inquiries, boost efficiency and satisfaction through seamless onboarding / offboarding, and handle IT orders and allocation of assets
* General & Executive Support - Provide vital ad-hoc support to senior management (e.g., KPI / OKR program and travel booking) and support meetings, training, internal comms, and clerical duties
Who You Are
* Proven administrative experience in an accounting firm (required)
* Experience with Karbon, Xero, Google Suite, and Monday.com (preferred)
* Comfortable working on spreadsheets and maintaining structured data sets
* High level of organization, attention to detail, time management, and accountability
* Able to work independently and manage multiple priorities to deliver high quality service
* Strong interpersonal skills, able to build strong relationships with clients, team members, and other Ray White divisions
* Able to adapt to an evolving role with enthusiasm
