About the Role
We are seeking an organised and proactive Part-Time Administration / Contracts Assistant to support our project team & business manager. This role offers flexibility and variety, with a focus on managing project documentation, invoices, and administrative systems to keep our projects running smoothly.
Key Responsibilities
* Process, code, and manage supplier and subcontractor invoices using Xero
* Manage and organise digital receipts and documentation via Hubdoc
* Assist with project administration including contracts, safety documentation, and compliance records
* Support the preparation of site safety and project documentation for upcoming jobs
* Update and maintain project workflows using Trello
* Liaise with suppliers, subcontractors, and project managers to ensure accurate recordkeeping and timely communication
* General office administration and document management
Skills & Experience
* Previous experience in administration or contracts administration, ideally in the construction industry
* Proficiency with Xero, Hubdoc, and Trello (or similar systems)
* Strong attention to detail and organisational skills
* Excellent written and verbal communication
* Ability to work independently and manage multiple priorities
* Understanding of construction documentation or WHS compliance (desirable but not essential)
