We're looking for someone already working within Professional or Financial Services who is ready to take the next step. This is a fast-paced role with constantly shifting priorities and international time zones requiring strong attention to detail, proactive thinking, and a positive, solutions-focused mindset. In return, you'll be trusted with significant ownership, responsibility, and variety as you provide the administrative backbone to a leading global business.
Key Responsibilities
Meeting Management
* Extensive coordination and scheduling of internal/external meetings, conference calls and video conferences across multiple time zones
* Liaising with global Executive Administrators as required
* Complex international travel arrangements, including visas and detailed itineraries
* Preparing and editing PowerPoint presentations, meeting agendas, and correspondence
* Printing, binding, and distributing marketing materials
Event Planning
* Partnering with the team and fellow EAs to deliver high-quality events, including client dinners, networking functions and conference participation
* Managing event budgets and invoice processing
* Coordinating invitations, tracking attendance, and overseeing logistics on the day
* Managing third-party providers before, during and after events
General Administration
* Covering front office and meeting room coordination, including catering and refreshments
* Ensuring office supplies and kitchen are maintained
* Processing team expenses via the company system
* Supporting the Executive Assistant as needed
* Screening calls and managing contacts with discretion
* Monitoring professionals' diaries, providing reminders, dial-ins and meeting materials in advance
* Assisting with special projects as required

* Strong interpersonal and communication skills, with the maturity to engage confidently with senior leaders and clients
* Demonstrated ability to manage competing priorities and deadlines
