Administration Manager – Psychology Private Practice

Erina & West Gosford | Full-time


Lead our Client Care Team and help shape exceptional client experiences

The READ Clinic is a thriving psychology private practice committed to delivering high-quality, client-centred care. We are seeking an experienced and people-focused Administration Manager to lead our Client Care Team and ensure the smooth, professional, and compassionate running of our client facing and administrative operations.

This is a newly created key leadership role within the practice, working closely with the Practice Manager and Directors to drive service excellence, team development, and continuous improvement across all administrative systems.

About the Role

As the Administration Manager, you will be responsible for:

Leadership & People Management

* Providing day-to-day supervision, coaching, and support to our Client Care Team

* Developing rosters to ensure reception coverage aligns with clinic needs

* Leading onboarding, probation check-ins, and annual performance reviews

* Supporting staff development and maintaining a positive, psychologically safe team culture

* Managing performance concerns in collaboration with the Practice Manager

Client Support Operations

* Overseeing client communication across phone, email, and in-person interactions

* Acting as the escalation point for sensitive or complex client service matters

* Monitoring client flow, bookings, cancellations, and waitlists to support access and capacity

Administration Systems & Workflow

* Ensuring daily administrative operations run efficiently and accurately

* Managing and improving systems relating to:

o Appointments and scheduling

o Client records and documentation

o Billing, payments, Medicare and third-party accounts (NDIS etc.)

* Identifying workflow improvements and implementing smarter systems, including AI initiatives

* Supporting assessment management, resourcing, and equipment maintenance

Policies, Procedures & Compliance

* Developing and maintaining administrative policies and procedures

* Ensuring compliance with privacy legislation and ethical practice requirements

* Supporting audit readiness, including Medicare and NDIS audits

* Ensuring consistency of processes across the Client Care Team

Collaboration & Reporting

* Partnering with the Practice Manager to align operations with strategic goals

* Reporting to the executive team on team performance, client trends, and process improvements

* Contributing to practice growth and service development initiatives

About You

Essential

* Proven experience in administration management (healthcare or psychology highly regarded)

* Strong leadership, supervision, and team development skills

* High emotional intelligence, discretion, and professionalism

* Excellent organisational and problem-solving ability

Desirable

* Experience in allied health or psychology private practice

* Familiarity with practice management software

* Qualification in business administration, management, or related field
