Animal Services plays a critical role in supporting world‐class research across UNSW and affiliated organisations. As an Administration Officer, you will contribute to the smooth and effective operation of animal research facilities by delivering high-quality administrative and financial support.
Reporting to the Animal Services Director, this role supports staff and researchers through a broad range of administrative, financial, and operational activities, ensuring compliance, efficiency, and service excellence.
Key Responsibilities
* Coordinate and manage administrative systems, processes, and reporting within Animal Services
* Develop and maintain procedures, providing expert advice on administrative guidelines and practices
* Support implementation of policies and ensure effective operational compliance
* Act as a key point of contact for internal and external stakeholders, ensuring service delivery meets demand
* Oversee financial administration including purchasing, expense processing, reconciliations, and billing
* Provide secretariat support to committees and meetings
* Support delivery of Division‐wide projects, initiatives, and ad hoc programs
* Monitor budgets and ensure timely, accurate financial processing
* Facilitate procurement and asset management in line with UNSW policies
* Maintain compliance‐related data systems (e.g., animal ethics, WHS, restricted substances)

Skills and Experience Required
* A relevant tertiary qualification or equivalent experience
* Demonstrated experience in financial and administrative functions (preferably in a university or similar environment)
* Excellent communication and stakeholder engagement skills
* Strong time management and problem‐solving abilities
* Advanced proficiency in Microsoft Office and administrative systems
* Sound numeracy skills and ability to interpret financial information
* A commitment to customer service excellence and continuous improvement
* An understanding of health & safety responsibilities and UNSW values
