As a PMO Analyst, you will play a critical role in supporting Service Stream’s IT Project Delivery function by providing high‑quality administrative, coordination and reporting support to the General Manager – IT PMO and the broader PMO team. You will manage governance cycles, prepare reports and documentation, coordinate meetings, and maintain accurate project records that enable consistent, transparent and efficient project delivery across the organisation. Working closely with project managers and key stakeholders, you will help drive strong governance, high‑quality reporting and seamless operational execution across the national project portfolio.

This is a full‑time, initial 12-month contract role based in our Melbourne office, supporting hybrid working arrangements.

About the role

• Coordinate weekly, monthly and ad‑hoc PMO reporting cycles, consolidating project updates and producing clear, accurate and insightful dashboards and status reports.
• Develop and maintain PMO reporting tools, registers, documentation repositories and governance artefacts to support consistent and effective project delivery.
• Analyse project data to identify trends, risks, issues and dependencies, highlighting key insights for executive and governance forums.
• Provide executive support to the General Manager – IT PMO, including preparing briefing materials, drafting correspondence, and supporting stakeholder communication.
• Schedule and coordinate governance meetings, steering committees and workshops, including agenda preparation, minute‑taking, action tracking and document distribution.
• Support project managers with administration tasks such as onboarding resources, licence requests, calendar coordination and basic financial tracking inputs.
• Maintain consolidated project delivery calendars, timelines and resource availability views to support effective planning and portfolio management.
• Champion consistent reporting standards, templates and documentation across the PMO to enhance quality, visibility and comparability.
• Act as a central coordination point for project delivery administration, building positive relationships and fostering professional communication across the PMO.

Skills and experience

Essential:
• Must be an Australian Citizen.

• 2–4 years’ experience in a PMO, project coordination, project support or high‑level administrative role within IT, corporate or project‑driven environments.
• Experience supporting senior leaders, preparing meeting materials and managing executive‑level communication.
• Strong capability in maintaining structured documentation, registers, reporting and accurate project records.
• Exposure to project management methodologies such as Waterfall or Agile, with an understanding of common project delivery terminology.
• Proficient in preparing meeting minutes, action logs, status updates and stakeholder communications.
• Experienced in building relationships and working closely with multiple stakeholders in fast‑paced environments with competing priorities.
• Proficiency in Microsoft Office applications including Word, PowerPoint, Excel and Teams.

Desirable:
• Experience working with project management tools such as MS Project, Jira or Confluence.
• Foundational project management or PMO training (e.g. PRINCE2 Foundation).
• Experience supporting continuous improvement, documentation uplift or governance framework initiatives.

Qualifications

• Certificate or Diploma in Business Administration, Project Support or a related field is desirable.
• Project management certifications such as PRINCE2 Foundation are advantageous.
