AYRES is a boutique advisory and delivery consultancy based in Australia. We provide specialised project management services across various industries including Health & Wellness, Aged Care, NDIS and Construction to ensure our customers exceed their desired outcomes.

About the role

AYRES is seeking a proactive and organised Office Administrator to support the day-to-day operations of our growing consulting business. This role is responsible for ensuring the smooth running of the office, supporting the team, and assisting with administrative coordination across multiple consultancy projects.

Responsibilities
* Manage day-to-day office operations and maintain an organised and efficient workplace
* Coordinate office supplies, equipment, and general facilities management
* Handle incoming calls, emails, and general enquiries
* Maintain company records, files, and documentation systems
* Provide administrative support to the Managing Director and team
* Manage calendars, meeting scheduling, and travel arrangements
* Prepare meeting agendas, notes, and follow up actions
* Assist with preparation of reports, presentations, and documents
* Assist with project documentation including contracts, scopes of works, and tender packages
* Maintain project dashboards, trackers, and internal systems
* Support procurement processes and coordination with consultants, builders, and suppliers
* Assist with document control and project filing
* Assist with invoicing, expense tracking, and basic financial administration
* Support timesheet tracking and internal reporting
* Coordinate supplier invoices and general accounts administration
* Assist with marketing material, company documentation, and internal templates
* Support onboarding of new staff and contractors
* Help maintain internal systems and business processes
* Provide general administrative support to the broader team as required
About you
* Previous experience in an Office Administrator, Executive Assistant, or similar administrative role
* Strong organisational and time management skills
* Excellent written and verbal communication skills
* High attention to detail and ability to manage multiple tasks simultaneously
* Proficiency in Microsoft Office and general business software
* Experience with project management or construction environments is advantageous
* Enjoys working in a fast-paced environment
* Positive attitude and willingness to support a growing business
