SiteHive
Logistics Coordinator
Posted: 15 May
Offer description

SiteHive is transforming environmental monitoring across the construction industry. Trusted by the largest organisations in the sector, our technology is deployed on 1,000+ sites across Australia and New Zealand, providing real‐time data to help projects better understand and reduce their impact on surrounding communities.

We're a high‐growth scale‐up with huge momentum. In 2025, SiteHive was recognised as one of Australia's Most Innovative Companies by the AFR and one of the Fast 50 by Deloitte.

As we enter our next phase of growth, we're continuing to strengthen our operations capability. We value attitude and collaboration as much as technical skill, and we operate under our three core values:

* Work as a hive
* Deliver the honey

The role:

The Logistics Coordinator keeps stock moving accurately and on time, so every order goes out right, every return is handled cleanly, and the office warehouse runs like clockwork. You'll own stock management, order fulfilment, carrier coordination, returns, and quality control, working closely with the wider team to keep our devices flowing out to construction sites across Australia and New Zealand.

Responsibilities:

* Stock management and accuracy: Own the day‐to‐day movement of stock (inbound, outbound, and everything in between). Receive and put away incoming goods, verify quantities and condition against purchase orders, and keep inventory records accurate. Lead regular stocktakes and cycle counts, investigate discrepancies, and ensure the system matches what's physically on the shelf.
* Purchase order management: Process incoming POs on arrival, confirming all line items match what was ordered and delivered. Monitor outstanding POs and proactively follow up with suppliers or freight partners when deliveries are overdue. Keep the team informed of delays that could impact stock levels or fulfilment timelines.
* Pick, pack and dispatch: Pick, pack and prepare customer orders accurately and efficiently, following packing standards to ensure every order is secure, well‐presented, and correctly labelled. Process and fulfil sales orders in the system, allocate stock correctly, and prioritise urgent or time‐sensitive orders. Generate shipping labels and verify recipient, address, and service type before dispatch.
* Carrier and delivery coordination: Book courier and carrier pickups, ensuring collections are scheduled accurately and orders are ready ahead of collection windows. Monitor outbound courier shipments, proactively following up on delayed, missing, or failed deliveries. Keep customers and internal teams informed and escalated unresolved issues promptly.
* Quality control: Apply quality checks at both inbound and outbound stages to catch damaged, incorrect, or non‐compliant items before they reach the customer. Escalate quality issues as needed and maintain accurate records.
* Returns: Receive, unpack and process customer returns promptly, ensuring all devices are ready for troubleshooting or refurbishment. Determine whether returned items are suitable for restock, quarantine, or disposal.
* Packing supplies and materials: Monitor packing supply levels and reorder consumables (boxes, tape, void fill, labels) before stock runs low. Source cost‐effectively, maintain buffer stock, and ensure the warehouse is always equipped to fulfil orders without delays.

Decisions you'll own:

* Inbound acceptance: accepting or rejecting incoming stock based on condition and PO compliance
* Order readiness: confirming a packed order is correct, properly labelled, and ready for dispatch
* Stock discrepancies: identifying, investigating, and escalating inventory issues identified in stocktakes or day‐to‐day operations
* Returns assessment: deciding whether a returned item is suitable for restock, quarantine, or disposal
* Carrier escalation: deciding when a delivery issue needs to be escalated
* Supplies reorder: initiating packing supply orders when stock hits reorder thresholds, without waiting to be asked

How success is measured:

* Stock accuracy: inventory records match physical stock, with discrepancies resolved promptly
* Order accuracy: 98%+ of outbound orders picked, packed, and labelled without errors
* Fulfilment timeliness: 95%+ of sales orders dispatched within the agreed timeframe
* Returns processing: all returns are logged and assessed within 1 business day of receipt
* Delivery follow‐up: no shipment delays left unresolved or uninvestigated beyond the agreed SLA
* Supplies availability: zero fulfilment delays caused by running out of packing materials
* Quality control: damaged or non‐compliant items caught at inbound or outbound, not by the customer

What we're looking for:

* 2+ years of experience in a warehouse, logistics, or fulfilment role
* Comfortable using inventory or ERP systems
* High attention to detail. You check your work before moving on
* Physically fit and able to perform manual labour throughout the day. This role involves regular heavy lifting, moving bulk stock, and being on your feet for extended periods
* Organised and process‐driven. You follow steps consistently and flag problems early
* A completer‐finisher: you see tasks through rather than leaving them half‐done
* Comfortable working independently and as part of a small, close‐knit team
* A strong willingness to learn in a hands‐on environment
* Experience with Unleashed a plus

Physical requirements:

This is a physically demanding role. You will be on your feet for the majority of the day and will be required to perform manual labour as a core part of the job. Candidates must be comfortable with:

* Regular heavy lifting and moving of bulk stock and freight
* Standing, bending, and moving throughout the full working day
* Handling, organising, and relocating stock within the warehouse
* Unpacking, sorting, and repacking goods as part of daily operations
