At Levande, we’re reimagining retirement living to create communities where residents feel at home, connected, and supported. Our Real Estate team plays a key role in shaping this vision, and we’re looking for a Development Administration Coordinator to help keep our projects running smoothly. 
If you love working with numbers, systems, and processes, this role is for you. 
While you’ll be involved in a variety of team activities, more than 80% of your time will be focused on finance administration. You’ll be the go-to person for ensuring our development projects run smoothly by keeping purchase orders, invoices, and reconciliations accurate, timely, and well-organised. 
This is not an Executive Assistant role; instead, you’ll focus on the operational and financial administration that keeps our projects on track. 
What You’ll Do 
- Manage purchase requisitions, purchase orders, and invoicing for development projects. 
- Partner with Accounts Payable and Development teams to arrange special payments when required. 
- Support reconciliations in collaboration with our Development Finance team 
- Assist with organising Real Estate events and activities, primarily in Melbourne 
- Coordinate procurement activities such as ordering uniforms, PPE, and event catering 
- Provide onboarding support for new Melbourne-based staff. 
- Build and maintain effective relationships with internal stakeholders across the Real Estate business. 
What You’ll Bring 
- Proven administrative and organisational skills, with the ability to prioritise and multi-task. 
- Strong interpersonal and communication skills, with a focus on relationship building. 
- Experience with computer-based systems, ideally Microsoft Dynamics 365 Finance, Microsoft Office, and document management systems. 
- Knowledge of accounts payable processes. 
- High level of personal presentation. 
- (Desirable) Experience in real estate, property development, or retirement living administration.
