We are looking for an Executive Assistant to join the team in Sydney. This role has the primary responsibility to provide a full range of business support and administrative services to the Managing Director of Australia & New Zealand. The individual in this position will also provide assistance with the day to day running of the office.
What are the ongoing responsibilities of this position?-
- Assist team with arranging complex internal and external client and stakeholder meetings- Coordinate local and global videoconferencing / teleconferencing requests including room bookings, catering, and set up- Manage and reconcile monthly corporate card expenses and invoices-
- Assist and arrange complex global international visitor's itineraries and logístical arrangements- Prepare weekly / fortnightly team meeting agendas and logistics including minutes and actions when required- Assist with the preparation of presentations and client briefing notes ensuring all documentation is completed to a high standard- Effectively communicate with external clients and business partners in an efficient and professional manner- Provide support to Event's team on internal / external client functions- Monitor and submit all general office maintenance requests when required- Act as main point of contact for the office to the team, clients, and internal / external stakeholders- Assist with maintaining office kitchen supplies, meeting rooms and copier/ stationary room, IT related requests, incoming external visitors to the office- Assist HR and IT with the on-boarding set-up and induction of new employees- Provide Business Continuity Coordination support- External vendor management- Participate in Annual Emergency Procedures Training and register as office Fire Warden
What qualifications, skills and experience would help someone to be successful?- Minimum 5 years of prior experience in an Executive Assistant role- Knowledge of CRM system is an added advantage- Advanced knowledge in Microsoft Office Suite- A good understanding of the financial services industry- Exceptional written and verbal communication skills- Confident in communicating with clients and business partners of varying seniority- Well presented, able to demonstrate initiative and clear decision making- Detail focused with strong organisational and time management skills- Able to commit at least 4 days per week in office
