About the Role
As the Procurement Officer you will have responsibility for the following:
- Provide efficient and effective administrative support by undertaking activities associated with Procurement, contract administration, helpdesk (Servicenow), records management (Content Manager), travel administration (Corporate Travel Management - CTM), support for purchasing processes (SAP), business intelligence reporting (BI)
- Provide general administrative assistance to support team members such as filing, records management, asset management, as required.
- Assist in monitoring, maintaining and coordinating effective office administration systems.
- Maintain a procurement and contracts helpdesk function, monitoring and managing a central mailbox, responding to Servicenow requests and providing information as a first-contact point for procurement enquiries.
- Administer and maintain contract related systems (QContracts, QTenders, Contracts Register), processes and registers.
- Records management for contracts including financial records, correspondence, communications, meeting minutes, plans and supplier documents in line with policies, procedures and audit requirements.
- Managing customer travel and accommodation enquiries and bookings using an online travel management system (CTM).
- Support customer purchasing processes by reviewing and releasing purchase orders using SAP.
- Promote customer compliance with procurement and contract management policies and procedures.
- Support the management of supplier performance by preparing business intelligence (BI) reports and providing information regarding department contracts.
- Prepare reports, correspondence and documents for supervisors and clients.
- Develop and maintain relationships with internal clients and external contractors for the purpose of achieving and sustaining customer satisfaction.
- Work on a number of tasks concurrently in an environment with a changing workload.
