We are seeking a highly organized and skilled Administrative Support Specialist to join our team on a part-time basis.
This role will involve providing comprehensive administration and project support, working closely with a dynamic and diverse team in a fast-paced environment.
Main Responsibilities:
* Manage the daily operations of the office, including mail, deliveries, supplies, and orders.
* Coordinate events and activities for the office, such as client meetings and industry events.
* Oversee vehicle and equipment maintenance/management.
* Assist with financial management, including purchasing orders, service invoices, credit card payments and reconciliation, expense claims, client invoicing, and project assistance.
* Support office health and safety management, including visitor sign-in, office safety checks, maintaining safety equipment, and reporting within our system.
* Collaborate with project managers to draft proposals and tenders, including compiling, reviewing, formatting, and submitting documents.
* Provide support with deliverables, such as MS Word formatting, collating information, scanning, and binding.
* Arrange travel and accommodation arrangements for staff and assist with staff expense claims.
Requirements:
* A minimum of two years' experience in an administration role, with proven skills in organizational management, multitasking, and communication.
* An intermediate to advanced level of knowledge in Microsoft Office applications.
* Exceptional written and verbal communication skills.
