Azure Dental is a modern, high-performance dental clinic focused on premium patient care, advanced technology, and an exceptional patient experience. We are looking for a driven, reliable, and organised Dental Receptionist to join our growing team. The role is part-time – minimum 2.5 days a week with the option for more days if desired.
As the first point of contact for our clinic, you will play a critical role in shaping the patient experience. This position requires professionalism, exceptional communication, attention to detail, and the ability to thrive in a fast‑paced environment. You will be working closely with our clinical team to ensure seamless operations across bookings, treatment coordination, and patient communication.
Key Responsibilities
* Front Desk & Patient Experience: Greet patients warmly and manage check‑ins and check‑outs. Maintain a calm, professional, polished presence at all times. Manage waiting room environment and ensure a smooth patient flow. Uphold Azure Dental's high standard of hospitality and service.
* Appointment & Schedule Management: Manage the appointment book across multiple clinicians. Optimise bookings for efficiency and productivity. Confirm appointments and manage recalls and follow‑ups. Coordinate referrals, specialist appointments, and treatment sequencing.
* Communication & Administration: Handle inbound calls, emails, and online enquiries. Document all interactions accurately in our practice software (Zavy36). Process payments, quotes, and health fund claims (HICAPS, DVA, CDBS). Provide quotes and explain insurance claims to patients.
* Treatment Plan Follow‑Up: Proactively contact patients with outstanding treatment plans. Manage and follow up outstanding recalls, cancellations and FTAs. Track follow‑up outcomes and ensure documentation is complete. Support the clinic's growth by maintaining strong patient reactivation processes.
* Operational Support: Daily opening and closing procedures. Maintain a clean, organised front desk environment.
