Position Purpose
As a Patient Concierge, you will be the first point of contact for patients and visitors, ensuring a warm, reassuring presence that reflects our values of Compassion, Respect, Commitment, Quality and Communication. You'll guide patients through admission, treatment day, and discharge processes, while supporting clinical teams and maintaining accurate records. Your role is critical in delivering patient‑centred care and creating a positive experience during a deeply emotional journey.
Key Responsibilities
* Welcome patients and visitors with warmth, empathy and professionalism, creating a positive and supportive first impression aligned with City Fertility's values.
* Guide patients through admission, treatment day and discharge processes, ensuring they feel informed, comfortable and respected at every stage.
* Act as a key point of contact between patients, clinical teams and administrative staff, facilitating clear communication and timely resolution of queries.
* Manage patient check‑in and check‑out processes, including verification of documentation, consent forms and identification requirements.
* Coordinate payment processing and assist with private health fund claims, providing clear explanations and support to patients as needed.
* Provide accurate discharge information and assist with arranging follow‑up appointments or next steps in the patient's care journey.
* Maintain accurate, confidential and up‑to‑date patient records in accordance with privacy legislation and organisational policies.
* Respond to phone, email and in‑person enquiries in a timely, courteous and professional manner.
* Support appointment scheduling, data entry and reporting activities to ensure smooth clinic operations.
* Monitor waiting areas and patient flow, proactively identifying opportunities to improve comfort, efficiency and patient experience.
* Collaborate closely with clinical and support teams to ensure seamless service delivery and continuity of care.
* Uphold City Fertility's standards of quality, safety and professionalism in all interactions and administrative processes.
* Contribute to a positive, inclusive workplace culture through respectful communication, teamwork and shared commitment to patient‑centred care.
What We Are Looking For
* Demonstrated experience in a healthcare, hospitality or customer service environment, with hospital or clinic experience highly regarded.
* Strong interpersonal and communication skills, with a compassionate, patient‑focused approach that aligns with City Fertility's values.
* Proven ability to manage multiple tasks, remain calm under pressure and adapt in a fast‑paced clinical environment.
* Sound computer literacy, including proficiency in Microsoft Office and the ability to quickly learn patient management systems.
* An understanding of hospital admission processes and private health fund requirements, or a willingness to develop this knowledge.
