We are a busy law firm specialising in criminal and family law. We are based in Gold Coast and have a business in Sydney for which you will be providing basic assistance remotely from time to time.
We are in search of a reliable Office Assistance on a full time paid permanent basis (5-days per week Mon-Fri 8:30am-5:30pm with the following requirements:
Key Responsibilities:
Operations Management:
* Oversee the daily operations of the law firm, ensuring processes are efficient and resources are allocated appropriately.
* Implement and refine office procedures and workflows to maximise productivity and maintain high-quality client service.
* Manage the firm's case management system and ensure that all files and client data are organized and up to date.
* Managing two solicitors calendar schedules
Financial Oversight:
* Manage trust account.
* Oversee billing to ensure timely payments and accurate record-keeping.
* Payment of invoices.
Client Relations:
* Serve as a first point of contact for clients, addressing enquiries and concerns promptly and professionally.
* Manage client intake processes and manage case assignments.
* Ensure a high level of customer service and client satisfaction throughout the case lifecycle.
* Assist law clerks and solicitors when required.
Team Leadership & Development:
* Supervise and support a team of lawyers and law clerks.
* Set performance goals and objectives for lawyers.
* Conduct performance reviews with lawyers.
* Ensure performance objectives are being met by lawyers.
* Coordinate staff training and development to ensure compliance with legal standards and firm procedures.
* Manage employee onboarding and offboarding
* Oversee recruitment and termination processes
* Foster a collaborative, positive, and efficient working environment for all staff members.
Compliance & Risk Management:
* Ensure that the firm complies with all local, state, and federal regulations regarding criminal law practice.
* Monitor and enforce compliance with ethical guidelines, and firm policies.
Reports To:
Senior Legal Team in Gold Coast
Required Qualifications:
* Minimum of 2 years of experience in legal administration or practice assistance management (or strong experience in Family Law in senior capacity would be considered).
* Proven experience managing and assisting office operations, financials, and client relationships.
* Excellent organisational, communication, and problem-solving skills.
* Ability to manage multiple priorities and work under pressure in a fast-paced environment.
* Strong leadership skills with the ability to motivate and manage a diverse team.
* Previous experience with LEAP software, admin Court procedures and working with billable targets is a bonus.
