Executive Assistant (Operations) — Free Our COO To Grow | $75–95k + KMs + PD
Based Alderley | Supports CEO/COO | Multi-site impact (North Lakes + Acacia Ridge)
At EHA, we're on a mission to be Australia's leading provider of Exercise Physiology and deliver 1,000,000 occasions of service in a single year by 2040.
This role is about being the operational force behind that mission. You'll free up our COO to focus on people and growth. You will do this by making sure our clinics run smooth, our systems stay sharp, and nothing slips through the cracks.
If you get a thrill out of calendars that run like clockwork, inboxes at zero, spreadsheets always up to date, and stockrooms that never run empty, this role was built for you.
What You'll Do
* Own facilities & equipment issues from intake → triage → vendor → close.
* Keep contractors compliant, scheduled, and delivering on time.
* Run stock & consumables so we don't run out — ever.
* Control the COO's calendar and inbox — no misses, no surprises.
* Publish stable rosters, keep SOPs current, deliver the weekly ops scorecard by 9am Mondays.
* Be the operational safety net — when things wobble, you catch them fast.
You are the right person if you:
* Hate inefficiency and can't stand loose ends.
* Take ownership without waiting for hand-holding.
* Stay organised, proactive, and always 3 steps ahead.
* Love making systems tighter, faster, and better.
You are the wrong person if you:
* Get rattled when priorities shift.
* Need constant direction or reminders.
* Think "done" is good enough (we're about "done right").
* Struggle to balance speed with detail.
What you will bring to EHA:
* EA/ops experience (multi-site or healthcare a plus).
* Confidence with Google Workspace, Asana, Xero, PRODA + NDIS portal (desirable, not required).
* Driver's licence and willingness to travel across Alderley, North Lakes, Acacia Ridge (paid KMs).
* First Aid/CPR, Blue Card/WWCC, NDIS Worker Screening (or willing to obtain).
* Bias for action, ruthless prioritisation, clean documentation.
