**Administration Assistant Gastroenterology Endoscopy Clinic**
Outpatient Clinic Administration position within the Gastro/Endoscopy Unit
- Administration role managing the Endoscopy Outpatient Clinic
- Play a key role with booking clinic appointments, attending Clinic
**About The Role**
To provide administrative support, and billing functions to the Endoscopy Clinic. As an administrative assistant, the incumbent will be expected to create an excellent first impression, providing a friendly, courteous and professional greeting to all visitors, either by telephone or in person, and to support them in relation to the purpose of their contact/ and or visit.
**Purpose**
- Provide a high level of support to the Endoscopy Clinic to ensure the smooth operation of the clinic
- Co-ordination of clinic waiting lists and appointments.
- Manage and co-ordinate all billings for Endoscopy clinics in a timely manner
- Ensure results uploaded to SMR
- Communicating changes to rosters and distributing leave planners to appropriate departments.
- Implement billing processes to Medicare, and providing reports to allow reconciliation of payments against billings.
- Be the conduit between Endoscopy Clinic, Gastroenterology and other Departments in following up queries.
**Key Result areas**
- Managing the Endoscopy clinic referrals via e-referral and iPM process
- Week to week management of Endoscopy Clinic to ensure 95% booking rate, with <5% FTA rate
- Complete Clinic reception role within the Endoscopy clinic
- meeting/greeting, clinic registration and discharge, copies of reports for patients/general practitioners/referring doctors.
- Maintain Staffing plans in conjunction with Gastroenterology PA and Endoscopy clinical lead.
- Ensure Clinic billings are completed in a timely manner and are compliant with Medicare regulations
Prioritise tasks to maintain workload with efficiency and accuracy.
Responsibilities/accountabilities
- To provide administrative support to the Endoscopy Clinic, Gastroenterology: Surgery Program.
- To provide friendly, informative and helpful customer service.
- Attend to as directed, day to day administrative and organisational issues.
- To provide general administrative and clerical support including the following:
- Word processing
- Clinic management
- Clinic Billings
- Clinic Referrals
- Report management and distribution
- Develop and maintain office systems (manual and electronic)
- Clinic roster construction and maintenance
- Co-ordination of leave requests in line with the Endoscopy Clinic roster requirements.
- Assist with enquires from Junior and Senior Medical staff if designated person not available
- Communicate and liaise with clerical staff in the Specialist Consulting clinic referral as required.
- Track all incoming documentation requiring PMD/ Unit Head approval and signature.
- Provide billing support to Medicare as appropriate
- Follow up on billing accounts and queries; generating reports to allow the reconciliation of billings against payments
- Carry out compliance and improvement against the key elements of quality and safety
- Be responsible for quality of care at point of care
- Organise equipment servicing periodically
