We are expanding and seeking a motivated, organised, and proactiveAdministration Officerto join our team at our Lawnton (Nrth Bne) office.
This role is a key part of our daily operations and supports our trainers, management, clients, and students across multiple sites.
The Role
As our Administration Officer, you will support the smooth operation of the RTO by coordinating office functions, managing student administration, assisting trainers, and ensuring compliance documentation is accurately maintained.
This is anoffice-based, hands-on rolethat requires strong organisation, attention to detail, and the ability to work both independently and in a small team environment.
Key Responsibilities
Office Administration & Coordination
Manage day-to-day office operations, including maintaining supplies and general organisation.
Coordinate incoming/outgoing mail, emails, phone calls, deliveries, and correspondence.
Assist with scheduling, diary management, and internal communications.
Prepare meeting agendas, take minutes, and follow up on actions.
Organise company events, staff inductions, and internal training sessions.
Work autonomously and proactively.
Student Administration & Client Support
Greet and assist students, clients, and visitors.
Verify photo ID, licences, and prerequisite evidence.
Process enrolments and maintain student records within the SMS.
Prepare student paperwork and class packs for trainers.
Handle enquiries via phone, email, and walk-ins.
Follow up on enrolments, fees, documents, and completion requirements.
Provide professional customer service to students, employers, and partner organisations.
Trainer & Assessor Support
Coordinate daily schedules, room bookings, and equipment needs.
Print and prepare training materials, assessments, and learner guides.
Ensure trainers have required resources and correct documentation.
Collect, check, and submit completed paperwork for processing.
Compliance & Data Management
Maintain compliant student files in line with ASQA and RTO Standards.
Enter and update data in the Student Management System (e.g., RTO Manager).
Support internal audits and compliance checks.
Maintain digital and hardcopy filing systems.
Track issuance and archiving of certificates and Statements of Attainment.
Financial & Purchasing Support
Monitor office supply budgets and track inventory purchases.
Team & Project Support
Provide administrative support to the RTO Manager and CEO.
Assist with tenders, projects, and submissions.
Contribute positively to team meetings and continuous improvement initiatives.
What We're Looking For
Essential
Previous administration experience (RTO or education sector highly regarded).
Understanding of ASQA requirements and RTO compliance.
Strong attention to detail and accurate documentation skills.
Excellent written and verbal communication.
Good time management and organisational ability.
Proficiency in Microsoft Office (Word, Excel, Outlook, PowerPoint).
Ability to prioritise, multitask, and work independently.
Professional, friendly, and customer-service oriented.
Current Driver's Licence.
Desirable
Experience using Student Management Systems (e.g., RTO Manager).
Knowledge of USI processes, AVETMISS, and units of competency.
Familiarity with civil, mining, or construction industry training.
Work Hours
Monday to Friday — 8:00 AM to 4:00 PM.
Early starts (6:30–7:00 AM) may be required depending on course schedules.
Flexibility available based on operational requirements.
