Building Certification Admin/Construction Admin
The Opportunity
We are seeking a highly organized Senior Administrator to provide structured administrative support within our established workflow systems. This role focuses on accurate execution, document management, and preparation work that enables our certifiers to operate efficiently.
Working closely with our Workflow Manager, you will follow established processes to manage documentation, data entry, and compliance tasks. Your primary responsibility is to ensure administrative tasks are completed accurately and on time, maintaining smooth day-to-day operations for the certifiers.
Key Responsibilities
* Manage and triage shared inboxes, ensuring timely responses and organization of incoming information
* Act as the gatekeeper for incoming documents and certificates, reviewing for completeness and compliance
* Manage the inspection calendar for certifiers and ensure all required documentation is prepared ahead of inspections
* Monitor and confirm completion of mandatory stage clearances — full training provided
* Complete data entry and set up new jobs and engagement documentation
* Prepare and submit council applications (plumbing, relaxations, whole-of-home) — full training provided
* Support certifiers by following up outstanding information and documentation
* Assist in the preparation of documentation for Building Approvals
* Package and lodge building approvals and final permits with council archiving systems
* Work collaboratively with the Workflow Manager to ensure smooth operational support for certifiers
* Share answering incoming calls from clients and potential customers
About You
* Previous experience in construction administration, building certification administration, or a similar role
* Strong understanding of the residential construction process
* Excellent attention to detail and document management skills
* Confident communicator with a professional, client-focused approach
* Highly organised, proactive, and able to manage multiple projects
* Experience working with high-end or architecturally designed homes will be highly regarded
