The opportunity:
We are currently looking for experienced Administration Assistants and Scheduling Officers with a comprehensive range of skills to join our team in Brighton, Hobart office. In this varied role you will handle all administration functions, processes, and procedures to provide across the board administration support to the business.
Duties and Responsibilities:
Reporting to the Contracts / Operations Manager, your main responsibilities will include:
* Process timesheets for employees and sub-contractors
* Enter and manage purchase orders
* Oversee contractor services and compliance
* Prepare client reporting (daily & weekly)
* Handle invoicing and customer queries
* Provide administration support & client interaction as needed
Scheduling Officers responsibilities include:
* Review and adjust schedules daily to ensure KPI’s are met
* Prepare and deliver regular project reports and updates per the Reporting Plan
* Monitor field efficiency, reporting completion, compliance and stakeholder feedback
* Support technicians with issues, safety, welfare and data accuracy
* Coordinate and track technician training to avoid downtime
The following attributes are required to be successful in this role:
* Highly competent in the use of Microsoft Office with strong EXCEL skills
* Excellent time management, multitasking, and problem-solving abilities
* Professional approach with strong communication and interpersonal skills
* Experience in bookkeeping and accounts payable (Greentree/MYOB advantageous)
* Motivated, critical thinker with enthusiasm and drive to achieve results
This role will suit someone who is self-motivated and able to work independently.
