Key Duties
* Expenditure and Accounts Payable Management:
* Manage the full cycle of supplier invoice processing, ensuring accuracy and timeliness
* Assist with reconciliations for bank accounts, credit cards, and support month-end closing activities
* Maintain accurate records of all accounts payable transactions and ensure proper coding in Xero
* Liaise with suppliers regarding invoice queries, payment terms, and remittance advice
* Support the review and approval process for purchase orders and expense claims
* Accounts Receivable Management:
* Reconcile accounts receivable and investigate any discrepancies
* Assist in the preparation of monthly financial reports, and conduct variance analysis
* Ensure data accuracy and integrity across Xero and other financial systems
* Monitor and follow up on overdue customer accounts to ensure timely payment
* Payroll Management:
* Support weekly payroll processing, ensuring accurate application of entitlements, deductions, and awards
* Process staff onboarding and all relevant documentation
* Provide administrative support in staff records management, contract updates, and compliance with workplace policies
* Handle submissions for Superannuation, Payroll Tax, and Child Support Payments and month-end procedures including financial year-end activities
* Taxation Obligations/Finance Management:
* Prepare ATO taxation obligations, including BAS, PAYG, IAS, and ensure compliance in collaboration with our external accountant
* Prepare and deliver end-of-month financial reports
* Monitor and manage budget and cash flow requirements to support business operations
* Collaborate effectively with internal teams and external partners while managing tasks independently and identifying efficiencies and strengthen financial controls
What We're Looking For
* Qualifications in accounting, finance, or bookkeeping (e.g., Cert IV, Diploma, Degree) or a minimum of 5 years' relevant experience in Finance Management
* Solid understanding of Australian payroll and invoicing legislation, including superannuation, PAYG, and Fair Work requirements
* Proficiency in Xero, Excel, and cloud-based financial platforms
* Experience with cash flow management, financial reporting, and analytics
* Strong attention to detail with the ability to work methodically, meet deadlines, and prioritise effectively
* Excellent communication skills and a professional, respectful approach to team collaboration
