The Role
We're looking for a proactive Office Administrator to be the go-to support for our Coffs Harbour office.
You'll own the day-to-day running of the office—front-of-house, operations and project support—while staying connected with our wider Business Support team, particularly Newcastle.
This is a fast-paced, client-facing role where no two days look the same. You'll work with everyone from engineers and project managers to senior leadership, keeping things running smoothly and making our office a great place to work.
Day to day responsibilities include:
Be the welcoming face of our office—manage reception, calls, inbox and client visits
Coordinate meetings, catering and travel; keep spaces and supplies in top shape
Provide engineering & project support: proposals, tenders, reports and project records
Liaise with our central Accounts team on invoicing, receipting and client billing queries
Assist with onboarding/offboarding, team events and internal initiatives
Contribute to continuous improvement in our Business Support systems and processes
Champion WHS by maintaining a safe, tidy workplace

It is essential that you have demonstrated experience as a Sustainability Consultant in the built environment consulting field, including project management, building sustainability design and delivery of ESD projects.
Relevant tertiary qualifications in Sustainability or Engineering.
ESD Strategy development and design thinking is essential.
Green Building Consulting and Certification Experience - As Built and Buildings are essential
NCC Section J Compliance DTS and JV3 Modelling is essential
Modelling Experience across GHGE, Daylight, NatHERS, BASIX, Passivehaus, Parametric and LCA. NABERS Energy and Water modelling would be desirable.
Strong working knowledge of other sustainability rating tools, including the WELL Standard and the Living Building Challenge (LBC) frameworks.
Experience with Life Cycle Assessments (LCA) using E-tool or equivalent software is desirable. IES/Design Builder experience is desirable.
Job Management Skills are essential: Project Planning, good level of communication and being able to articulate complex solutions.
Client Management and consulting experience is essential, being able to demonstrate good client side thinking.
Business development and proposals experience is essential: Proposal writing, client pursuits and nurturing.
