We're looking for a proactive Personal Assistant to work with our Executive Assistant in supporting the General Manager and Finance Director based in Perth.This Part Time, 12 month Fixed Term position will provide support across various tasks including travel bookings, document organization, meeting minutes, presentation formatting, event logistics, and general admin duties.
We are seeking a motivated and detail-oriented administrative assistant who is looking for a fast-paced role with loads of variety.
The role offers the opportunity to contribute to a dynamic workplace where no two days are the same - you'll be an integral part of our team, helping things run smoothly behind the scenes.Key responsibilities include:Assist with preparation for leadership and Board meetings, including taking minutes, distributing follow-ups and preparing professional presentations and business documents using SharePointSupport the EA with a range of administrative tasks including calendar management, travel and accommodation bookings, managing expenses and credit cardsCoordinate with suppliers, schedule appointments, and assist with errands such as gift sourcing or arranging property maintenanceHelp set up internal business events, including catering pickups and venue coordinationBe an active contributor to team culture initiatives and engage with colleagues both in-person and remotely where neededYou'll know you're the right fit if you're flexible, responsive, and ready to adapt to changing priorities.
With the global nature of the GM and FD roles, this position calls for a high level of availability and the ability to step up, providing full-time cover for the Executive Assistant during periods of leave.Skills:Proven experience as a Personal Assistant, Executive Assistant, or in a comparable administrative role (3+ years preferred)Confident using scheduling tools such as Outlook Calendar to manage appointments and meetingsExcellent written and verbal communication skills, with a professional and personable approachA proactive team player who can also work independently when neededMature individual able to maintain discretion and confidentiality when handling sensitive informationFlexible and responsive to changing priorities and task requirementsHigh attention to detail, demonstrated through proofread, well-structured, and professionally formatted application documents (cover letter and CV)This is a part-time position (approximately 20 hours per week) requiring availability over 4 days a week in-office.
