An exciting opportunity exists to join our Head Office team at United Physiotherapy Group (UPG) as an Administrative Executive.

Here at UPG, you will find a group of dedicated physiotherapists who are passionate about delivering exceptional care in across multiple health care settings. Broadly, our group works in aged care facilities and in the community across VIC, NSW, QLD, TAS and WA improving the quality of life for thousands of aged care clients. In addition we have a Flagship Studio where we provide Pilates and Private Physiotherapy service along with sports physiotherapy services to local clubs. As a member of the UPG team, you will have an incredible opportunity to support our lovely team who work across a variety of settings.

The Role:

We're seeking a highly organised and proactive Admin Executive to support our growing operations starting mid November 2025. This role covers a wide range of responsibilities, from compliance and billing to staff support and clinic assistance. You'll play a key part in ensuring smooth day-to-day operations, supporting both our leadership team and clinical staff, and helping us deliver the best service possible to our clients and community.

Responsibilities and Duties:

* General administration and office support based in our Head Office in South Yarra.
* Providing assistance with client and staff queries.
* Provide clinic support, including reception cover, bookings, and maintaining a welcoming environment.
* Manage monthly billing, including invoicing, overdue accounts, and reconciliations.
* Supporting leadership with day-to-day operational needs.
* Coordinating staff processes, including onboarding, payroll queries, and leave.
* Assisting with compliance, documentation, and record keeping.
* Supporting Staff Events and Seminars (*may require travel to and from locations in Metropolitan Melbourne.)
* Reporting to the Office Manager.

Qualifications and Skills:

* Previous administration experience is helpful (especially in healthcare or compliance), but if you bring strong organisational skills and a willingness to learn, we'd love to hear from you.
* Confident communicator, able to manage client queries and team support effectively.
* Strong organisational skills with excellent attention to detail.
* A team player who is proactive, adaptable, and detail-oriented.
* Confidence using Google Suite of Applications, Word, Excel, Power Point, etc.
* Strong initiative and good problem solving skills.
* Experience with complaint management and resolution.
* Comfortable juggling competing priorities in a dynamic, fast-paced setting.
* Appropriate working visas - no visa restrictions
* A National Police Certificate
* NDIS Check/Working with Children Check
