We're looking for a proactive Administrative Support team member who enjoys variety, takes pride in their work, and thrives in a busy, client‐focused environment. This role plays a key part in supporting reception, office operations, and client service administration across the firm.
What you'll be doing: Front of house & office coordination
* Reception relief, welcoming clients, and offering refreshments
* Maintaining presentation of reception, meeting rooms, kitchen, and boardroom
* Preparing meeting rooms (supplies, screens, whiteboards, reset after use)
* Managing kitchen supplies, cleanliness, and dishwasher
* Opening and closing reception when required
Office administration
* Managing incoming/outgoing mail, couriers, and postage systems
* Scanning, photocopying, filing, shredding, and document control
* Managing stationery, printers, supplies, and maintenance requests
* Handling client document movement and registers
* Managing archive boxes and records
Client Services & ATO support
* Managing ATO correspondence and portal updates
* Processing registrations, cancellations, and change requests
* Supporting ATO payments, remissions, and payment arrangements
* Assisting with client data updates, workpapers, and file setups
* Supporting onboarding/offboarding processes for clients
* Preparing documentation and assisting with external stakeholder requests
About you:
* Experience in general office administration (preferred)
* Strong customer service and communication skills
* High attention to detail and accuracy
* Confident using Word, Excel, Outlook and general systems
* Highly organised with strong time management and multitasking ability
* Professional, discreet, and trustworthy
* A genuine team player with a positive attitude
