The Project Management Office
The Project Management Office is responsible for managing the organisation's annual project delivery program, aligned with strategic objectives, and ensuring projects are delivered to a high quality, according to the organisation's project management framework. The team works across the business, with a particular focus on asset and infrastructure projects. The team is also responsible for project administrative supports and grants administration.
Purpose of the Position
Working as part of the PMO team, the Grants & Project Support Officer provides project administration support and supports the development of grant applications and subsequent administration of grants received, through to acquittal. The role undertakes a diverse range of support tasks, including secretariat support, drafting correspondence, undertaking background research and analysis, collating information, project reporting, preparing grants applications and assisting in the management of funding agreements.
Key Accountabilities
* Manage and maintain project registers, databases, and electronic files to support governance and reporting requirements.
* Arrange and attend meetings, prepare agendas and briefing papers, take minutes, and follow up on actions arising.
* Assist in planning, budgeting, and alignment of the portfolio of projects to strategic organisational drivers and objectives.
* Receive, assess and manage enquiries from internal and external stakeholders, undertaking all necessary follow-up action to ensure the enquiry is dealt with appropriately and within a reasonable timeframe.
* Support the PMO team with the implementation and improvement of the Project Management Framework.
* Receive, handle and transmit confidential information in an efficient and professional manner, maintaining the confidentiality and integrity of the information in line with the Privacy Act.
* Prepare general correspondence, and assist in the preparation of presentations, submissions and reports.
* Source and compile information from project managers, such as written updates, financial statements, audit reports or statutory declarations, ensuring they are submitted on time and with required approvals.
* Identify grants opportunities and coordinate the development and submission of grant applications.
* Provide administrative support for grant funded projects, including report preparation and tracking grant variations.
What we're looking for?
* Qualifications and /or experience in administrative support, project management, land management or related field.
* Extensive experience in procedures and systems including document control, data entry and file management in a fast-paced environment.
* Excellent attention to detail
* Demonstrated high level proficiency in Microsoft Office Suite to produce high quality project documentation, diagrams and presentations.
* Exceptional interpersonal skills with an ability to gain cooperation and assistance from clients, members of the public and other employees in the administration of well-defined activities.
