As the Executive Assistant to the Chief Operating Officer (COO) you will play a crucial role supporting and assisting the executive, anticipating their needs in real time and foreseeing needs across several teams. You will manage and plan the day-to-day workflow for the Executive that will leverage your support and hold responsibility for booking and managing travel and associated activities.
As one of the first points of contact, you will prioritise the urgency of tasks and intercept unnecessary interruptions or distractions and ensure that overall general business continues to move forward with ease. You will coordinate and present relevant information to the Executive as needed in a concise format with a keen eye for attention to detail.
Within your role, you will assist to easily make decisions and communicate the outcomes or actions of those decisions to the broader executive team and enterprise wide as needed. The outcome is a seamless transition from one activity / initiative / meeting to the next, as well as appropriate execution of decisions.
The role may also assist in coordinating and supporting the execution of organisational wide projects / initiatives.
What you'll bring to the role:
* Experience working in an executive/senior management support position (essential)
* Experience in Banking & Finance or Government (Regulatory) industry
* Broad understanding of and experience with a Risk Division / Department including reporting cycles Co-Sec, Board and Regulatory (advantageous)
* High level of discretion and confidentiality
* Ability to understand and anticipate the needs of the Executive and the Leadership Team
* Ability to manage strong professional relationships to senior internal and external stakeholders
* Excellent planning, time management and problem-solving skills
* Strong communication skills (written and verbal), and ability to communicate effectively with all levels of the organisation and a diverse stakeholder group
* Experience in the preparation of agendas, minutes and briefing notes
* Intermediate to Advanced skills in MS Word, SharePoint, Microsoft Teams, Excel, PowerPoint and Adobe Pro (PDF).
* Adaptable and flexible, identifying efficiencies, better approaches and practices
* Knowledge of Bank's policies, procedures and structure frameworks will be highly regarded
