The Role
Do you have experience providing secretariat support to senior committees and executives?
Do you the ability to write high-quality minutes, prepare briefs, agenda papers?
Are you looking for a short term contract in the lead up to Christmas and potentially January ****?
Duties :
Providing end-to-end administrative and secretariat support for the Commission, Accountable Authority (AA), Executive Leadership Team (ELT) and Audit and Risk Committee (ARC), including scheduling and sequencing meetings in collaboration with business areas, collating and circulating agendas and papers, following up to ensure timely resolution of action items and monitoring of the shared mailboxes.
Providing practical and timely support and advice to the Chief Commissioner and Commissioners, including managing and recording declarations of interest and actioning requests relating to their correspondence.
Quality assuring meeting papers, out-of-session items and preparing decision documents to ensure alignment and consistency with legislative requirements and other relevant policies and procedures.
Overseeing the notification, recording and publication of Commission / AA / ELT / ARC decisions in a timely manner and preparing and updating internal communications.
Working effectively and harmoniously as part of the TEQSA Executive Office team, managing competing priorities and requests, solving problems, and providing advice, training and support to others as required.
Preparing a range of documents, papers, reports as required, saving records in SharePoint as appropriate, maintaining good record keeping practices in accordance with Agency's internal processes.
Fostering cooperative and influential working relationships with a range of internal and external stakeholders, understanding their needs and expectations, discussing issues thoughtfully and credibly to achieve cooperation, and delivering quality and effective outcomes.
Contributing to the ongoing review, continuous improvement, and development of internal processes, including standardised templates.
Do You Have?
Experience providing outstanding secretariat support to senior committees and executives and contributing to the continuous improvement of the operation of such meetings.
Strong analytical and communication skills, including the ability to write high-quality minutes, prepare briefs, agenda papers and presentations and contribute to agency-wide projects.
High-level organisational skills and attention to detail with demonstrated experience in managing multiple tasks, meeting deadlines within short timeframes and working independently and as a member of a team in a high-pressure environment.
Strong interpersonal and stakeholder management skills, and the proven ability to liaise and communicate effectively and tactfully and to obtain cooperation from staff at all levels as well as external stakeholders.
Strong expertise in using Microsoft Office, particularly Word, Excel, and Outlook.
Qualifications and Experience
A tertiary qualification(s) or relevant practical experience in federal or state public sector will be highly regarded.
Knowledge and understanding of Australian Government legislative frameworks and requirements, and the role of regulators, will be advantageous but not essential.
Experience in using Board Management Software such as Diligent Boards will be highly regarded.

Casual Loading
