Position overview
We are seeking an enthusiastic and qualified Scheduling Lead/Maintenance Planner, ideally with experience in field operations or maintenance planning.
The primary focus of the role is to develop, prioritise, organise, schedule and monitor work orders to support the delivery of preventive maintenance, calibration, inspection, installation/upgrades and repair of our weather observing equipment, in accordance with the Bureau's maintenance program and service level agreements.
The successful candidate will liaise with stakeholder groups on moderate to very complex operational and system support tasks, review and contribute to working documentation, prepare and deliver reports and provide asset management system expertise where required.
Whilst working under the general guidance of the Operations Manager, the role will be significantly autonomous.
Who are you?
The successful candidate will need an in depth-knowledge of IBM Maximo (or be willing to be trained in the use of IBM Maximo), advanced excel skills, have exceptional communication skills, be empathetic, organised and service minded. They will also need highly developed prioritisation and field services planning skills and strong problem-solving and analytical skills. The Scheduling Lead will report directly to the Operations Manager and may have management responsibility for subordinate staff as required.
Who are we?
The Observing Operations Hubs are the Bureau of Meteorology's Technical Operations centres comprising of 8 Hubs, one in each capital city and Cairns.
Staff based at the Observing Operations Hub travel far and wide and into remote areas, utilising 4WD's, planes, boats, and helicopters to maintain service delivery within the various instrumentation networks. This includes:
* Rain Radars
* Automatic Weather Stations (AWS)
* Upper-Air monitoring systems (sounding balloons)
* Sea Level Monitoring Stations
* Wave and Wave height buoys
* Satellite ground reception and space weather instruments
* Flood warning / rainfall monitoring systems
* Co-operative observers, volunteer rainfall stations
* Communications, telemetry and instrumentation systems
We are part of a national maintenance workforce and there is the opportunity to travel to other parts of Australia.
We offer specialised, in-house competency-based training on all our equipment and will ensure you have the necessary tools and skills to undertake this work.

Staff in our Hubs are mentored and supported by a Hub Manager and various Team leads.
Role responsibilities
The responsibilities of the role include, but are not limited to:
* Work Coordination: Determine and monitor resource capacity to develop fortnightly work plans and allocate available resources, staff and equipment, to support the repair and maintenance of observation assets and supporting infrastructure. Including the procurement of spare parts, equipment, freight, shipping and sub-contractors required for each field trip. Manage the resupply of consumables and essential stock / parts for ongoing operation of the Antarctic / sub-Antarctic stations, including meeting consignment requirements and delivery deadlines.
* Work Tracking: Monitor work order progress and completion in the Bureau's Enterprise Asset Management System (IBM Maximo) and tracking against KPI targets and annual maintenance program, updating of records and ensuring asset information is correct, including parts, equipment, labour hours, resources etc.
* Work Prioritisation: Triaging and scheduling maintenance program or repair activities in line with national Service Level Priorities.
* Work forecasting: Produce work forecast for short/medium/long term planning of resources and competency needs. Liaise with the Planning Coordinator in OSO to ensure the planned maintenance program is delivered within target.
* Continuous Improvement: Support uplift in planning and scheduling business processes. Improve productivity through targeted workforce and activity management that promote efficiencies and improve our cost of operations e.g., develop/review standard job plans in IBM Maximo to ensure a consistent approach is delivered for repetitive jobs.
* Equipment Performance Management: Allocate resources and oversee the asset performance analysis and preventative monitoring tasks. Assign corrective actions, such as first in remote diagnostics, and issue communications as required. Ensure maintenance management data quality and integrity to improve performance and improve management decisions.
* People Management: Manage, supervise and develop staff either formally, through your line of responsibility, or operationally through mentoring and coaching of others as directed. Ensure tasks assigned are in the remit of people's skills and in accordance with the Training Competency Framework. Coordinate planning meetings related to maintenance as required.
* Communication and Liaison: Ensure effective messaging and timely communication of hub activities and equipment outages between the Hub and other sections. Work in consultation with other Leads, Hub Manager and Network Managers to review and assign tasks.
* Administration: Coordination and oversight of Cherwell tickets and IBM Maximo administration. Maintain quality documentation, enter and update asset management information. Prepare Service Request, Work Orders and other trip documentation, including financial coding of activities.
* Engagement and Representation: Liaise with various internal and external stakeholders at the appropriate level and represent the Bureau in a professional manner in accordance with Australian Public Service values and Code of Conduct.
* Quality Management: Participate in ensuring the quality and effectiveness of products and services and the ongoing development, implementation and continual improvement of the quality management system to achieve and maintain the ongoing certification of compliance with the ISO 9001 quality management Standard.
* Compliance: Comply with all relevant legislation, policies, procedures and guidance in the course of your work.
* Strategy: Connect to the Bureau's strategy through the Group and Program plans to ensure day to day operations provide the data, infrastructure and systems to underpin the Bureau’s core operations. Provide assistance to other sections for spare parts requirements and planned maintenance schedules.
