Full Job Description
Neurospine Institute is a multidisciplinary specialist practice of surgeons offering advice and treatments across the full range of spine and brain conditions. Our surgeons are supported by other medical specialists, allied health providers and administrative staff. To support the growth of the practice the Board is seeking to appoint a Practice Manager to oversee the daily operational requirements of the practice.
The Practice Manager will work in partnership with the Managing Director, Doctors, clinical and administrative team to improve quality and patient access, drive efficiency and enhance the patient experience, as well as meeting regulatory requirements. The position will be responsible for the oversight of administration staff and the allocation of resources to ensure workflow and patient activity through the practice is optimised. The Practice Manager will lead and foster a collegiate and engaged workforce who operate in line with NeuroSpine Institute's vision and values. The role is focused on quality assurance and continuous improvement of procedures and patient care.
Essential Selection Criteria
- Tertiary qualification in a relevant science discipline or working towards the same and/or demonstrated extensive experience in administration and management of health information systems.
- Demonstrated ability to lead a team and facilitate process improvement and change.
- The ability to analyse and review existing systems and processes to improve efficiencies and the quality of services delivered.
- Proficient in Genie software.
- Proven leadership, management and interpersonal skills to achieve organisational goals.
- An understanding of patient billing for surgical and workers compensation patients.
- Knowledge of Medicare, Hicaps, Healthlink and other healthcare technology.
- Up to date COVID-19 vaccination & Police Clearance

Accountabilities/Key Responsibilities
Operational Management
- Work with administrative staff and other colleagues to achieve efficient and effective management of medical records, clinical information, workflow and patient activity within the practice.
- To work within the administration teams performing day to day tasks directly involved in patient activity and other administrative tasks.
- Respond to and resolve issues and provide a prompt service in line with expectations.
- Coordination and management of Neurospine Institute's metropolitan and regional clinics in collaboration with administration staff.
- Assist the Managing Director to develop and maintain Neurospine Institute's policies, forms and procedures.
Human Resource Management
- Assists Managing Director with recruitment as required.
- Initial point of contact for all practice staff in relation to absences and unforeseen circumstance.
- Coordinate and facilitate the induction of new staff as directed, in accordance with Neurospine Institute's policies and procedures.
- Maintain rosters for surgeons and administration staff.
- Facilitate and participate in staff meetings with colleagues.
- To promote a stable and cohesive team whilst developing and maintaining a high degree of job satisfaction.
- Assist in the development of a career path for administration and/or other staff as required.
- Participate in educational and teaching programs for recent members of staff.
- Maintain Neurospine Institute's performance appraisal schedule for all administrative staff.
- Role model Neurospine Institute's vision and live the objective of the company through all actions.
Quality and Safety
- Actively participate in hazard identification, assessment and control process and other activities to ensure a safe work environment for self and others.
- Contribute to the development of an effective management strategy and provide appropriate patient education.
- Acknowledge responsibility for own actions and seek assistance when necessary.
- Take reasonable care that any of your acts or omissions do not adversely affect the health and safety of others.
- Co-operate with any reasonable policy or procedure of Neurospine Institute that has been notified to workers in relation to health or safety at the workplace.
- Attend mandatory education in life support, fire and safety and OHS as required.
- Maintain working order and ensure equipment is kept clean on a daily basis.
